About the Role:

Reporting to the Associate Director, Enrolment Operations & Policy, the Curriculum & Policy Specialist oversees undergraduate curriculum management, academic policy governance, and program development support. The incumbent supports the full lifecycle of Undergraduate Program Committee submissions, advising academic units, reviewing proposals, coordinating committee operations, and managing updates to the Undergraduate Academic Calendar. The incumbent serves as a registrarial resource on academic policy, interpreting Senate-approved regulations and conducting research to inform policy development and review cycles. The Curriculum & Policy Specialist collaborates with academic units to provide support for registrarial processes pertaining to new program proposals and major modifications, ensuring alignment with institutional, Senate, and government expectations while guiding submissions through governance pathways.

The Curriculum & Policy Specialist will:

  • Act as the primary point of contact for faculty, advisors, students, and other partners on matters related to undergraduate academic policies, regulations, and procedures; provides authoritative guidance and escalates complex issues as required;
  • Provide advice, training, and operational support to departmental representatives on the preparation and submission of Undergraduate Academic Calendar proposals;
  • Review and evaluate departmental submissions to ensure completeness, required approvals, and compliance with institutional policies and procedures; directs submissions to appropriate governance committees as necessary;
  • Prepare and compiles committee reports to Senate, including tracking, analysis, and reporting on committee activities, decisions, and outcomes;
  • Review, edit, and maintain the Undergraduate Academic Calendar, including facilitating minor editorial revisions and coordinating the annual publication process to ensure accuracy, approvals, and the integrity of the calendar as an institutional contract with students;
  • Provide comprehensive administrative and operational support to the University Senate’s Undergraduate Program Committee, including the preparation of briefing materials, background documentation, analysis, and correspondence at the request of Committee Chair;
  • Conduct structured research and policy analysis to inform committee deliberations, policy development, and institutional decision-making;
  • Collaborate with the Secretariat’s Office and other Senate committees to support coordinated governance processes and effective communication across the University;
  • Support academic units in the preparation of new academic program proposals, major modifications, and structural changes, ensuring they are operationally feasible from a registrarial perspective and aligned with the University’s degree framework, strategic priorities, and credential architecture;
  • Conduct research and provide analysis and recommendations on policies and best practices, internal and external;
  • Attend Faculty Curriculum Committee meetings as the designated representative of the Office of the Registrar and Enrolment Services, ensuring accurate interpretation of academic policy and effective communication of institutional requirements;
  • Ensure clear communication of policy and process changes across all functional teams to support seamless implementation; and
  • Monitor cross-unit impacts of projects and initiatives, escalating issues and recommending solutions to maintain alignment and operational cohesion.

Key Skills and Experience:

  • Undergraduate degree in a related discipline, or equivalent combination of education and experience would be considered;
  • Related experience in registrarial office and/or academic policy development, program implementation, and governance processes;
  • Strong knowledge of university academic policies, governance structures, undergraduate regulations, and administrative procedures, including the Academic Calendar and Faculty Handbook;
  • Demonstrated understanding of privacy legislation and the Ontario Human Rights Code;
  • Advanced technical skills, including Microsoft Office (Excel, Word, Outlook, SharePoint, Teams), spreadsheet management, large data sets, secure electronic document handling, and the ability to quickly learn new systems and technologies;
  • Proficiency with university administrative systems and tools (, student information systems, academic calendar systems), registrarial processes, and web-based curriculum submission platforms;
  • Strong editing, proofreading, and attention to detail, with the ability to manage high volumes of documentation accurately under tight deadlines;
  • Excellent written, verbal, interpersonal, and analytical communication skills, with the ability to produce clear, concise reports and engage effectively;
  • Demonstrated problem-solving skills, diplomacy, sound judgment, and discretion when managing sensitive and complex issues, ensuring confidentiality with information;
  • Strong organizational and project management skills, with the ability to manage competing priorities in a fast-paced and changing environment;
  • Commitment to delivering exceptional student service and promoting inclusivity and respect within the workplace and broader community.

Preferred or Asset Skills:

  • Experience working with a student information system, in a post-secondary environment;
  • Experience working in program development and program operationalization;
  • Experience developing, reviewing and interpreting policies, procedures, regulations, agreements and other relevant guidelines; and
  • Experience leading complex projects and guiding partners through change projects.

Salary and Total Rewards:

  • Job Grade J, Salary Scale ($56,503 - $91,627);
  • Target Hiring Range: $56,503 - $60,000*
