EMPLOYMENT OPPORTUNITY

Program Coordinator

An opportunity exists to join the Town of Slave Lake in a full-time permanent position. Reporting to the Manager of Recreation and Community Relations, the Program Coordinator is responsible for leading the planning, delivery, and evaluation of recreation programs, community events, and initiatives that enhance community connectedness, participation, and quality of life in Slave Lake.

Working collaboratively across departments and with community partners, the Program Coordinator ensures programs are responsive to community needs, inclusive, and aligned with municipal priorities. This role maximizes the use of municipal facilities, supports healthy and active lifestyles, and fosters meaningful community engagement.

$32.04 - $40.36 per hour

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Program Development, Planning & Evaluation

  • Research, design, and implement diverse recreation, sport, cultural, and community programs for all ages and abilities.
  • Develop annual and seasonal program plans aligned with community needs, municipal priorities, and approved budgets. Ensure programs are inclusive, accessible, and reflect community diversity.
  • Conduct ongoing community engagement, needs assessments, and feedback collection to inform programming decisions.
  • Evaluate program effectiveness through attendance tracking, surveys, and outcome measurement, and recommend improvements.

Event & Initiative Coordination

  • Plan, coordinate, and deliver community events, festivals, and initiatives that promote participation and community pride.
  • Manage all logistics, including facility bookings, vendor coordination, permits, equipment, and supplies.
  • Conduct risk assessments for programs and events and implement appropriate mitigation strategies to ensure participant safety.
  • Provide on-site leadership during events, including problem-solving, decision-making, and stakeholder coordination.

Community Partnerships & Engagement

  • Build and maintain strong relationships with community organizations, non-profits, contractors, and regional partners.
  • Develop and manage partnership and service agreements that clearly define roles and expectations.
  • Act as a key point of contact for community programming inquiries and stakeholder engagement.
  • Support and strengthen community capacity by providing resources, guidance, and collaboration opportunities.
  • Encourage coordination across organizations to reduce duplication and maximize service impact.

Marketing & Communications

  • Develop and implement strategic marketing and communications plans to promote programs and events.
  • Create and distribute seasonal program guides and promotional materials across multiple platforms.
  • Utilize digital tools and social media to increase awareness, accessibility, and participation.
  • Ensure clear, consistent, and timely communication with participants, partners, and the public.

Financial & Administrative Management

  • Develop, monitor, and manage program and event budgets, ensuring fiscal responsibility and alignment with municipal procedures.
  • Administer contracts, procurement processes, and vendor agreements.
  • Assist in identifying funding opportunities and preparing grant applications and reporting requirements.
  • Maintain accurate records, including attendance, financial tracking, evaluations, and program reports.
  • Prepare reports and presentations for senior leadership, Town Council, and external stakeholders.

Leadership & Supervision

  • Recruit, train, schedule, and supervise seasonal staff, casual employees, contractors, and volunteers.
  • Provide coaching, mentorship, and performance management to support high-quality program delivery.
  • Foster a positive, respectful, and inclusive work environment aligned with Town values.
  • Ensure staff are trained in safety procedures, program standards, and customer service expectations.

QUALIFICATIONS / EDUCATION / EXPERIENCE:

  • Business, Recreation Administration, Sports Management or Physical Education diploma or an equivalent combination of education and /or experience.
  • 2 years’ experience in programming and event coordinating.
  • 2 years of supervisory experience.
  • Valid class 5 Alberta driver’s license

SKILLS REQUIRED:

  • Knowledge of preparing contracts, grants, funding proposals and reports.
  • Knowledge of finance, accounting, budgeting, and cost control procedures.
  • Computer programs, including but not limited to Microsoft Outlook, MS Word, Excel, Publisher, Canva and other graphic programs.
  • Knowledge of recreation and community development principles
  • Superior Communication Skills, both written and oral.
  • Ability to work in a team environment.
  • Strong organizational and time management skills.
  • Experience working with not-for-profit organizations and boards.
  • Maintain confidentiality and consideration when dealing with staff and volunteers.
  • Ability to analyze and solve problems.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to supervise and train assigned staff.
  • Ability to coordinate and organize programs, special events and marketing initiatives.

WORKING CONDITIONS AND PHYSICAL ENVIRONMENT:

  • Occasional light lifting and physical activity related to program and event setup.
  • Long periods of sitting.
  • Extensive use of computers and telephones.
  • Good lighting, temperature, and noise control.
  • Combination of office, facility, and outdoor work in varying weather conditions.
  • Normal working day consists of a maximum of 7.5 hours; however, occasional extended hours may be required.
  • Potential to work alone
