SHIPPING COORDINATOR

The shipping coordinator will work within our Logistics / Operations team to manage parcel freight program and marketing shipments, sample management including freight management and logistics support for import programs. This person will work with sales, marketing and other people in the operations department managing various business needs related to sample customer and marketing orders. They will be responsible for being a liaison with manufacturers, freight forwarders, 3PL, and internal teams as it relates to these orders and business needs.

RESPONSIBILITIES :

Shipment Program Management

  • Work with the team and third-party shipping carriers to help manage, understand and analyze rate structure and account(s)
  • Assist with defining best practices and creating standard operating procedures for domestic & international shipping to reduce costs while achieving desired timetables for shipments
  • Help manage parcel & LTL freight requirements for marketing and sales department including preparing labels, documents etc.
  • Review on a timely basis all invoices and approve and / or correct for payment
  • Research problem invoices for resolution with Fed Ex Rep and MBG A / P department and make suggestions for improvements in procedures if applicable
  • Assist with customs support as needed
  • Work cross-functionally with other departments to coordinate all sample and special-order shipments
  • Work with the team, freight forwarders and shipping carriers to negotiate best shipping rates and timetables in accordance with desired objectives and requirements
  • Act as liaison with Fed Ex parcel account manager to maintain best rates and service for company
  • Manage Fed Ex Parcel or other shipping carriers as designated for all inbound / outbound shipments including pricing, labels, and coordination of pickups
  • Manage any Fed Ex Parcel shipping issues with Fed Ex and affected internal department / person
  • Manage all aspects of spare parts program including :

Inventory of spare parts (this includes physical inventory as well as system data entry)

  • Organization of spare parts
  • Ordering of spare parts
  • Shipment of spare parts to consumers as provided by customer service
  • Supplies Procurement

  • Manage inventory and order supplies as needed
  • Check and approve invoices for all our suppliers related to duties : Lodico, Pitney Bowes, BBox , Fed Ex parcel
  • Logistics Support

  • Coordinating the day-to-day shipping and administrative tasks necessary for ensuring the successful / timely production, transportation and delivery of merchandise for special sample requirements.
  • Frequent communication and follow-up with multiple factories to ensure sample orders are on time
  • Frequent communication and follow-up with multiple forwarders / carriers and customs broker to ensure shipping / customs clearance / delivery is on track
  • Verify best rates and transit time with multiple forwarders for each sample shipment
  • Frequent communication with different departments as necessary to advise status of sample shipments
  • Expect extra follow-up with factories / forwarders / delivery DCs if / when POs were shipped incorrectly
  • Data Entry : Make sure to properly record status of all shipments in real time
  • Maintain purchase order system tracking reports as well as internal system (SAGE)
  • QUALIFICATIONS :

  • 1-3 years’ experience in operations, logistics and / or account coordination in a consumer driven business
  • Proficiency in Microsoft office, inventory management systems and sales systems
  • Knowledge of customs, particularly the Canadian and American Border agencies a plus
  • Strong analytical and organizational skills, with a proven track record multi-tasking in a dynamic and fast-paced environment
  • Excellent verbal and written communication skills
  • Pro-active self-starter, disciplined, solution-oriented with a strong attention to detail
  • Bachelor’s degree or secondary degree a plus

    COORDINATEUR DES EXPÉDITIONS

    Le coordinateur des expéditions travaillera au sein de notre équipe Logistique / Opérations pour gérer le programme de transport de colis et les expéditions marketing, la gestion des échantillons, y compris la gestion du fret et le soutien logistique pour les programmes d'importation.     RESPONSABILITÉS :

  • Aider à gérer les besoins en fret de colis et de LTL pour les services de marketing et de vente, y compris la préparation des étiquettes, des documents, etc.
  • Examiner en temps utile toutes les factures et les approuver et / ou les corriger en vue de leur paiement.
  • Rechercher les factures problématiques pour les résoudre avec le représentant de Fed Ex et le département A / P de MBG et faire des suggestions pour améliorer les procédures, le cas échéant.
  • Assister le service des douanes si nécessaire.
  • Travailler de manière transversale avec d'autres départements pour coordonner tous les envois d'échantillons et de commandes spéciales.
  • Travailler avec l'équipe, les transitaires et les transporteurs maritimes pour négocier les meilleurs tarifs et calendriers d'expédition en fonction des objectifs et des exigences souhaités.
  • Assurer la liaison avec le gestionnaire du compte Fed Ex parcel afin de maintenir les meilleurs tarifs et services pour l'entreprise.
  • Gérer Fed Ex Parcel ou d'autres transporteurs désignés pour toutes les expéditions entrantes et sortantes, y compris la tarification, les étiquettes et la coordination des enlèvements.
  • Gérer tout problème d'expédition de colis Fed Ex avec Fed Ex et le service / personne interne concerné.

  • Vérifier les meilleurs tarifs et le temps de transit auprès de plusieurs transitaires pour chaque envoi d'échantillons.
  • Communication fréquente avec les différents services, le cas échéant, pour les informer de l'état des envois d'échantillons.
  • Assurer un suivi supplémentaire avec les usines, les transitaires et les centres de distribution si les commandes ont été expédiées de manière incorrecte.
  • Saisie des données : Veiller à enregistrer correctement le statut de toutes les expéditions en temps réel
  • Gérer les rapports de suivi du système de bons de commande ainsi que le système interne (SAGE).
  • QUALIFICATIONS :

  • 1 à 3 ans d'expérience dans le domaine des opérations, de la logistique et / ou de la coordination des comptes dans une entreprise axée sur le consommateur.
  • Maîtrise de Microsoft Office, des systèmes de gestion des stocks et des systèmes de vente.
  • La connaissance des douanes, en particulier des agences frontalières canadiennes et américaines, est un atout.
  • Solides compétences analytiques et organisationnelles, avec une expérience avérée dans la gestion de plusieurs tâches dans un environnement dynamique et rapide.
  • Excellentes aptitudes à la communication orale et écrite
  • Vous êtes proactif, rigoureux, orienté vers les solutions et avez un grand souci du détail.
  • Baccalauréat ou diplôme de l'enseignement secondaire un plus
