Job description

Are you passionate about delivering unforgettable patient experiences? Do you thrive on leading high-performing administrative teams, streamlining clinic operations, and creating an environment where both patients and staff feel truly supported? If so, we’ve got the perfect role for you.

As our Patient Experience Manager, you’ll be at the heart of our clinics, ensuring they run seamlessly while fostering a culture of excellence, compassion, and innovation. You’ll lead a stellar administrative team and play a key role in coordinating our Longevity Program. Your work will directly impact patient satisfaction, clinic performance, and the overall success of our mission to provide amazing patient care.

If you’re an operations pro who thrives in a fast-paced, patient-focused environment and loves leading teams to success, this is your chance to develop and implement strategies that elevate customer service, drive operational improvements, and support the achievement of our clinic’s financial and performance goals. Your work will directly impact the clinic’s reputation, ensuring it remains a trusted and preferred healthcare home for our community.

What You’ll Do

Be the Patient Experience Champion – You’ll oversee front-line interactions, ensuring every patient is welcomed, supported, and guided through their healthcare journey with ease. Whether it’s streamlining check-ins, refining scheduling, or enhancing communication, you’ll be the driving force behind top-tier service.

Support Longevity Program Coordination – Our Longevity Program is cutting-edge, and you’ll be at the center of it all. You’ll ensure seamless scheduling, coordination, and support for patients, making their experience smooth and impactful.

Lead and Develop an All-Star Administrative Team – You’ll recruit, train, and mentor a high-performing administrative team that thrives on efficiency, collaboration, and excellence. Your leadership will shape a clinic culture that’s both productive and fun.

Drive Operational Excellence – You’ll work alongside clinical leaders to optimize workflows, improve scheduling systems, and ensure our clinics run like a well-oiled machine. You’ll refine processes that make life easier for both patients and staff.

Track Key Success Metrics – You’ll monitor patient engagement, conversion rates, and operational efficiency, using data to drive continuous improvement and ensure our clinic stays ahead of the game.

Foster a Culture of Growth and Learning – You’ll support ongoing education, team development, and innovation, ensuring Tall Tree remains a leader in healthcare excellence.

Requirements

Who You Are

A Natural Leader – You’ve got 2+ years of leadership or healthcare management experience and a knack for building strong, motivated teams that love what they do.

Passionate About Service Excellence – You geek out over outstanding customer service and know how to turn patient interactions into memorable, positive experiences.

Experienced in Healthcare Administration – You’ve worked in a clinical setting, understand medical office operations, and know your way around EMRs, scheduling, and care coordination.

A Stellar Communicator – You can lead a team meeting, collaborate with clinicians, and keep patients informed—all with confidence, clarity, and compassion.

Growth-Oriented & Adaptable – You love streamlining processes, optimizing workflows, and continuously improving systems to make things run smoother.

A Problem-Solver with a Can-Do Attitude – You thrive in fast-paced environments, think on your feet, and love tackling challenges head-on.

Benefits

From inspiring guest speakers and professional development sessions to themed celebrations, group outings and board game nights, there are plenty of fun opportunities to fill your calendars!
  • Wellness beyond work - On top of offering 5 paid sick days per year, we’re committed to supporting your mental well-being. We provide access to a range of mental health resources, including counselling through our EAP, and resiliency workshops designed to equip you with practical tools for managing stress and maintaining a healthy work-life harmony
