About this role
We are recruiting for a Division Coordinator to join our Victoria office. Here's how your role will strengthen our team.
Your responsibilities
- Provide administrative support to the Division, Managers, and Project Manager / Estimators with a variety of tasks including processing monthly billings, supporting procurement pricing, preparing job binders and organizing documents to ensure paper flow (permits, manuals, and tender forms)
- Assist with tenders, such as lighting / device counts, including tender submittals and IFC to Bid review's
- Ensure proper user set-up and access in Procore project management system
- Data entry and updating project management systems / CRM with information
- Ensure the site has all the latest specs, shop drawings, change orders, and schedules
- Update project drawings, purchase orders and job schedule with the change orders
- Organize and track shop drawings, distributing as needed
- Price, extend, confirm hours submitted and enter data required for extra work orders
- Track shipments for orders, track backorders, and keep on top of suppliers for delivery of materials
- Print and circulate a variety of reports associated to the project
- Assist in division estimating and staff resource schedules
- Attend site meetings and site walks to record and produce minutes
