About this role

We are recruiting for a Division Coordinator to join our Victoria office. Here's how your role will strengthen our team.

Your responsibilities

• Provide administrative support to the Division, Managers, and Project Manager / Estimators with a variety of tasks including processing monthly billings, supporting procurement pricing, preparing job binders and organizing documents to ensure paper flow (permits, manuals, and tender forms)
• Assist with tenders, such as lighting / device counts, including tender submittals and IFC to Bid review's
• Ensure proper user set-up and access in Procore project management system
• Data entry and updating project management systems / CRM with information
• Ensure the site has all the latest specs, shop drawings, change orders, and schedules
• Update project drawings, purchase orders and job schedule with the change orders
• Organize and track shop drawings, distributing as needed
• Price, extend, confirm hours submitted and enter data required for extra work orders
• Track shipments for orders, track backorders, and keep on top of suppliers for delivery of materials
• Print and circulate a variety of reports associated to the project
• Assist in division estimating and staff resource schedules
• Attend site meetings and site walks to record and produce minutes
