Durée du contrat : 12 mois, avec possibilité de prolongation selon la performance et les besoins organisationnels
Horaire : 37,5 heures par semaine
Taux horaire : 36 $ à 39 $/heure, plus indemnité de vacances

À propos du poste
Nous sommes à la recherche d'un(e) coordonnateur(trice) de projets proactif(ve) et très organisé(e) pour soutenir une équipe dynamique axée sur l'accès au marché et les partenariats en pharmacie. Dans ce rôle, vous contribuerez à coordonner diverses initiatives, à optimiser les opérations et à agir comme point de liaison clé entre les équipes internes et les partenaires externes.
La personne retenue saura anticiper les défis, gérer des priorités concurrentes et contribuer efficacement à la mise en œuvre des projets, des processus et des communications.

Principales responsabilités
  • Coordonner la création et le suivi des bons de commande et des factures dans les systèmes d'approvisionnement, en assurant un suivi précis des budgets et des dépenses.
  • Participer à l'organisation de congrès et d'événements, incluant la coordination de la logistique, du matériel et des horaires des participants.
  • Soutenir les communications liées aux mises à jour de produits, aux lancements, aux ruptures d'approvisionnement et aux ajustements de prix.
  • Fournir un soutien administratif pour les ententes d'achats de groupe, en veillant à la collecte et à la soumission des informations requises dans les délais.
  • Assurer le suivi des budgets mensuels, concilier les bons de commande ouverts et contribuer à l'exactitude des charges à payer.
  • Maintenir et organiser la documentation des projets dans des systèmes partagés et garantir une bonne gestion des dossiers clés.
  • Participer aux réunions d'équipe et collaborer avec des partenaires interfonctionnels afin d'améliorer les processus et partager les bonnes pratiques.
  • Élaborer, documenter et mettre à jour les procédures opérationnelles normalisées (PON/SOP) en collaboration avec les membres de l'équipe.

Qualifications et expérience
  • Minimum de 3 à 5 ans d'expérience dans un rôle administratif sénior, de coordination ou d'opérations
  • Une expérience dans un environnement réglementé ou dans le secteur de la santé est considérée comme un atout
  • Bilinguisme français et anglais requis (oral et écrit)*

Compétences clés
  • Excellente capacité à gérer plusieurs priorités et projets simultanément
  • Solides aptitudes en travail d'équipe et en collaboration
  • Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Capacité à structurer des processus et à produire de la documentation claire
  • Sens aigu de l'organisation et souci du détail avec des standards de qualité élevés
  • Compréhension financière et capacité à interpréter des données budgétaires
  • À l'aise dans un environnement dynamique et axé sur les échéanciers

Project Coordinator (pharmaceutical)

Location: Montréal, QC - hybrid schedule (remote Mondays & Fridays; onsite Tuesday to Thursday)
Contract Duration: 12-month term with potential extension based on performance and organizational needs
Work Schedule: 37.5 hours per week
Hourly Payrate: $36/hr - $39/hr plus vacation pay

About the Role
We are seeking a proactive and highly organized Project Coordinator to support a fast-paced team focused on market access and pharmacy partnerships. In this role, you will help coordinate initiatives, streamline operational activities, and act as a key liaison across internal teams and external stakeholders. The successful candidate will anticipate challenges, prioritize competing demands, and contribute to the effective execution of projects, processes, and communications.

Key Responsibilities
  • Coordinate the setup and tracking of purchase orders and invoices across procurement systems, ensuring accurate monitoring of budgets and expenditures.
  • Assist in organizing conferences and events, including coordinating logistics, materials, and participant schedules.
  • Support communication efforts related to product updates, launches, supply interruptions, and pricing adjustments.
  • Provide administrative support for group purchasing agreements, ensuring timely collection and submission of required information.
  • Monitor monthly budgets, reconcile open purchase orders, and support accrual accuracy.
  • Maintain and organize project documentation within shared systems and ensure key records are properly stored.
  • Participate in team meetings and collaborate with cross-functional partners to share insights and improve processes.
  • Develop, document, and update standard operating procedures (SOPs) in collaboration with team members.

Qualifications & Experience
  • At least 3-5 years of experience in a senior administrative, coordination, or operations role
  • Experience in a regulated or healthcare-related industry is considered an asset
  • Bilingual proficiency in French and English is required (spoken and written)*
