Job Summary

The Procurement, Expediting & Inventory Control Specialist is a hybrid role that bridges office‑based procurement functions with hands‑on warehouse operations. This position serves as the backbone of pH7's supply chain, ensuring materials arrive on time, vendors deliver as promised, and physical inventory is accurately tracked and managed. Reporting to the Director of Projects, this role requires a high‑energy individual who can seamlessly transition between negotiating with suppliers, expediting critical shipments, and conducting physical stock audits on the warehouse floor.

The ideal candidate brings a technical background, proven procurement and warehousing experience, and the proactive mindset to anticipate needs before they become bottlenecks. They thrive in fast‑paced environments, communicate clearly across internal and external stakeholders, and take ownership of the full lifecycle from purchase order to warehouse receipt.

What You'll Do

  • Research, evaluate, and select suppliers and vendors that meet pH7's quality, timeline, and budget requirements.
  • Maintain and update the approved vendor list and lead the qualification process for new suppliers.
  • Build and maintain strong, long‑term relationships with existing suppliers.
  • Request quotes, proposals, and bids from vendors.
  • Negotiate contract terms, pricing, and delivery conditions to secure optimal value for pH7.
  • Issue purchase orders and manage the procure‑to‑pay process.
  • Manage purchase orders, invoices, shipping documentation, and administrative details to ensure accuracy and compliance.

Expediting & Delivery Coordination

  • Serve as the primary point of contact with vendors to confirm order statuses, follow up on production progress, and resolve delivery or quality issues.
  • Monitor all open purchase orders, production schedules, and delivery timelines on a regular basis.
  • Identify potential delays early and immediately communicate risks to internal teams.
  • Work directly with suppliers to mitigate delays and expedite critical shipments.
  • Coordinate transportation and logistics with suppliers to ensure timely delivery to pH7 facilities.
  • Issue regular expediting reports to project teams, highlighting status, risks, and mitigation actions.
  • Inventory Control & Warehouse Management

  • Track and monitor incoming and outgoing goods, raw materials, consumables, and finished products.
  • Develop, implement, and maintain inventory control systems (manual or digital).
  • Perform physical inventory counts, including cycle counts and wall‑to‑wall audits.
  • Reconcile physical stock with system records and investigate discrepancies.
  • Collaborate with production, operations, and maintenance teams to forecast demand and manage stock replenishment.
  • Ensure adequate stock availability to prevent shortages and minimize disruptions.
  • In addition to the core duties, monitor and control household goods and facility supplies (e.g., kitchen and bathroom supplies).
  • Generate reports on inventory levels, turnover, and discrepancies for management review.
  • Cross‑Functional Collaboration & Reporting

  • Work closely with Engineering, Projects, Operations, Maintenance, HR, and Admin teams to support project timelines and operational needs.
  • Develop and maintain status reports on vendor performance, on‑time delivery metrics, and project progress.
  • Provide visibility into supply chain health and proactively flag risks to leadership.
  • What You'll Need

  • Min. 3–5 years of experience in procurement, expediting, and inventory control.
  • Technical background or technical knowledge (engineering, industrial, or technical supply chain environments).
  • Proven experience managing vendor relationships and negotiating contracts.
  • Hands‑on warehousing and inventory management experience, including physical audits and stock reconciliation.
  • Strong understanding of the procure‑to‑pay cycle and logistics coordination.
  • Excellent communication skills (written and verbal) for internal and external stakeholders.
  • High energy, proactive, and self‑motivated with the ability to work independently.
  • Comfortable transitioning between office‑based procurement tasks and hands‑on warehouse operations.
  • How You’ll Stand Out

  • Background in EPCM, EPC, EP, or engineering firms where employees manage multiple functions.
  • Experience in industries such as oil & gas, pulp & paper, water treatment, or cargo / logistics.
  • Familiarity with technical procurement for engineering projects or plant operations.
  • Experience working in mid‑sized engineering contractors where versatility and adaptability are required.
  • Exposure to supply chain coordination in dynamic, fast‑paced environments.
  • Knowledge of inventory management software or ERP systems.
  • This is a full‑time, on‑site position with pH7 Technologies. The role requires working at pH7 facilities, including both office and warehouse / plant environments, with occasional travel to other pH7 locations as needed.
