Job description

The Opportunity

This position works out of our Montreal location in the Nutrition. Our nutrition business develops science-based nutrition products for people of all ages, from helping babies and children grow, to keeping adult bodies strong and active. Millions of people around the world count on our leading brands – including Similac, PediaSure, Pedialyte, Ensure, Glucerna and ZonePerfect – to help get the nutrients they need to live their healthiest life.

Under the supervision of the Manager, Commercial Contract Management, the Specialist, Partnership Contract Management will maintain a strong business relationship with given HCPs and HCOs on behalf of the Abbott Nutrition Canada Affiliate. The Specialist serves as the central contact for receiving and managing all HCP / HCO agreement requests (including reciprocal support agreements, sponsorships, grants and charitable contributions) from AN Head Office and Salesforce. The Specialist will be called upon to act as the AN liaison between the Business Owners (contract requesters) and necessary internal departments (OEC, Legal, Finance, Purchasing).

Familiarity with policies and procedures related to third-party management will be required to serve as backup to the Manager, Commercial Contract Management.

What You’ll Do

Internal Interactions;

  • Receive, analyze and categorize all agreement requests from internal stakeholders (Sales Team, Marketing HCP and Nutrition Science teams, International Global requesters).
  • Produce and execute all necessary agreements in accordance with processes and policies / guidelines related to Abbott’s Office of Ethics and Compliance (OEC).
  • Support the Nutrition Science Manager with all HCP-HCO Agreement Requests.
  • Develop and enforce Standard Operating Procedure for agreement request submissions.
  • Keep informed of current policies impacting the Agreement process with HCP-HCO.
  • Participate in internal Quality / Business audits as appropriate.
  • Identify and implement process improvement initiatives as deemed appropriate.
  • Ensure proper tracking and monitoring of HCP-HCO Agreements and expenses. Have regular touchpoints with the Nutrition Science Manager to discuss HCO Agreement terms and renewals.
  • Ensure submission and tracking of payments through the Ariba system.
  • Apply all OEC and Financial Policies as well as onboard (train) all new AN employees on those policies and processes.
  • Provide weekly updates to Manager, Commercial Contract Management on HCP-HCO engagements in progress, process improvements (if required) and timelines.

HCP-HCO Interactions;

  • Send agreements to HCPs-HCOs for review and execution.
  • Ensure communication and follow-ups are done with HCP Agreement approvals or required documentation.
  • Make traveling arrangements for HCPs, if required. Communicate and follow up regarding traveling arrangements and expenses.
  • Communicate with Global Abbott teams requesting engagement of Canadian key thought leaders to ensure successful processing and execution of agreements, traveling arrangements, expenses and processing of payment for these.
  • Process payments in Ariba.
  • Maintain strong professional interactions with Key Opinion Leaders, Professional Associations, and Foundations.
  • Commercial Contract Management Assistance;

  • Assist Manager, Commercial Contract Management with third-party related matters such as but not limited to : Agreement renewal paperwork (amendment, PDF compare)Aggregate request documentation completionPCF request completionSOW reviewPTURT request completionSubmit new Supplier request in Ariba (iBuy) and follow up
  • Knowledge & Teamwork;

  • Maintain regular interaction with Nutrition Science Manager for effective planning and execution purposes.
  • Liaise with the OEC and Legal team to ensure agreements are meeting legal and compliance standards.
  • NETWORKING (internal and external) :

  • Ongoing communication with current and new HCPs and HCO contacts when required
  • Participate in cross-functional Business Excellence / Process Improvement Initiatives.
  • Required Qualifications

  • 3 Year Technical College degree
  • 3 to 5 years of experience minimum in project management.
  • Experience working with cross-functional teams and health care professionals, health care organizations and third-parties.
  • Good understanding of Ethics, Compliance and Legal Guidelines and processes.
  • Good understanding of OEC and financial processes (PO, month end, accruals, etc).
  • Proven capability for teamwork and managing multiple deadlines and projects.
  • Ability to balance priorities and demands while working in a fast-moving and progressive environment (adaptability & resilience).
  • The incumbent must be able to communicate well in English (50% of the time), as his or her duties require interaction with stakeholders and colleagues outside Quebec and Canada.
  • Preferred Qualifications

  • Work experience using SAP / Ariba system an asset.
  • Superior skills working with Microsoft suite (mainly Excel, Word and Acrobat DC Pro).
  • Intermediate experience with ContractHub,Acrobat DC Pro, Docusign,IsoTrain.
