About the Role
As the Office Administrator, you will be the first point of contact for employees, visitors, and external inquiries, ensuring a welcoming and professional office environment. You will manage front desk operations, answer calls and emails, handle administrative tasks, and support office and employee engagement initiatives. This role requires a high level of organization, attention to detail, and the ability to multitask in a fast-paced setting.
What You Would do
As the Office Administrator, you will be responsible for ensuring the smooth daily operations of the office, supporting employees, and managing key administrative tasks.
- Manage the front desk, acting as the first point of contact for all visitors, answering calls, and responding to emails in a professional and timely manner.
- Oversee office supply procurement and inventory by tracking, forecasting needs, and managing vendor relationships to ensure availability and cost efficiency.
- Organize and maintain office spaces to ensure a clean, professional, and functional environment.
- Coordinate meetings, mail distribution, business card requests, and service provider arrangements.
- Manage communications and relationships with property management, addressing parking, access, and building concerns for support staff employees.
- Process letters of employment with accuracy and timeliness for immigration, banking, and personal use.
- Coordinate and book corporate travel, including flights, accommodations, and transportation, while ensuring adherence to company policies and cost-effectiveness.
- Review monthly referral program reports to ensure accuracy and timely payout processing.
- Manage visitor interactions, reception emails, and social media inquiries professionally.
- Support employee events, meetings, catering, and engagement initiatives.
- Assist with People & Culture administration as needed.
