Your opportunity :

Under the general supervision of the Associate Chair, Undergraduate Studies and the Department Manager, the incumbent is responsible for leading the instructional support team to provide administrative support for the teaching of large undergraduate first and second year mathematic courses.

Your responsibilities will include :

  • Implementing plans and process improvements for program activities
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Analyzing service delivery and / or internal processes and recommending improvements
  • Determining logistics for program activities
  • Determining work priorities based on knowledge of deadlines
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Writing routine documents and correspondence
  • Directing the activities of a small group of staff-appointed employees all performing a similar function, including responsibility for scheduling and / or workflow

Essential Qualifications :

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum three years of recent and related experience providing administrative support for an academic program in a post-secondary environment
  • Experience providing support to University faculty, TAs, and staff in the coordination of large undergraduate courses, including non-exhaustively TA scheduling and communications, creating and maintaining course websites, and maintaining records
  • Demonstrated experience proofreading and formatting lecture notes, problem sets, tests and exams
  • Demonstrated experience working with databases and surveys and generating reports
  • Demonstrated experience working with undergraduates and providing information to students
  • Experience organizing and planning meetings / events
  • Experience analyzing service delivery, planning workflow and timelines, and making process improvements
  • Strong knowledge of the operations and workflow of a mathematics academic program administrative support
  • Excellent verbal and communication skills with the ability to communicate with a diverse group of clients
  • Well-developed and strong interpersonal skills
  • Excellent time management, prioritization and organizational skills
  • Excellent skills in MS Office suite (Word, Excel, Outlook, Access, OneDrive) and SharePoint
  • Excellent skills with student information systems, such as ROSI and Quercus
