Job description

Job Description

At Nöord Technologies, we empower top-tier financial institutions with exceptional talent in banking and capital markets. For the needs of one of our prestigious clients, a major banking actor in Montreal currently experiencing strong growth, we are actively seeking an experienced Loan Administrator.

Position Overview

Integrated into the Loan Operations teams situated in New York and Mumbai, and working in close alignment with Business Support groups, the Loan Administrator is accountable for executing daily operational workflows supporting loan activities. The role leverages available tools and resources to safeguard and optimize both the productivity and output quality of the Loan Operations platform.

Key focal areas include:

  • Production & Team Alignment: Serving within a core sub-team of 3 to 5 specialists (as part of a broader group of 15 members) under the local domain head and reporting functionally to the Head of FTO-Loan Operations in New York. The unit administers and services loan portfolios as Participant, Agent, or Direct Lender.

  • Referential & Data Governance: Managing the local referential framework for the US branch and handling designated operational processes for the US Data Management Unit.

Core Responsibilities

Day-to-Day Tasks and Operations

  • Administering all facility lifecycles and transactions: drawdowns, rollovers, repayments, prepayments, funding, rate-fixings, fee and commission bookings, external payments, interest collections, and Nostro reconciliations.

  • Handling comprehensive administrative oversight of the assigned loan portfolio, resolving ad-hoc queries, leading investigations, and continuously tracking all data points within the unit's remit.

  • Overseeing the routine management of all facilities and associated product structures, ensuring strict adherence to internal controls and executing all business-as-usual (BAU) deliverables promptly and efficiently.

Data Quality Management & Internal Controls

  • Ensuring full operational adherence to internal control frameworks and the specific regulatory expectations of the serviced branches.

  • Escalating operational anomalies, bottlenecks, risks, or control deficiencies directly to the Team Leader.

Process Improvement & Project Initiatives

  • Contributing to ad-hoc tasks, process enhancements, and strategic support initiatives driven by the management team.

  • Supporting IT and management teams during system release cycles, specifically preparing and executing User Acceptance Testing (UAT).

Continuous Learning and Development

  • Actively acquiring, expanding, and maintaining up-to-date domain knowledge required for the function.

  • Completing all designated mandatory trainings to achieve and preserve professional competence.

Legal and Regulatory Compliance

  • Complying fully with Canadian platform policies, internal compliance manuals, operational procedures, and local statutory regulations.

  • Upholding Financial Security mandates—including fraud prevention, anti-financial crime safeguards, and regulatory reporting duties to the designated Money Laundering Reporting Officer (MLRO).

Requirements

Profile & Qualifications

  • Education: Bachelor’s or Master’s degree in Business, Management, Information Technology, or a related discipline.

  • Experience: 3 to 5 years of commercial banking operations experience (prior experience with ACBS preferred).

  • Language Proficiency: Fluent in English (Expert level); French proficiency is an asset; other foreign languages appreciated.

  • Domain & Systems Knowledge:

    • Solid grounding in core banking workflows (accounting, funding Nostro entries, cash management).

    • Familiarity with loan contract terms, conditions, and credit agreements.

    • Proficiency with MS Office (Word, Excel) and readiness to leverage proprietary loan, payment, and operating platforms (system training provided).

  • Key Strengths & Competencies:

    • Demonstrated problem-solving and investigative acumen for analyzing and resolving complex operational issues.

    • Ability to operate effectively in project/UAT environments alongside IT teams.

    • Strong oral and written communication skills to tailor messages, drive fluid exchanges, and interface with multi-branch international Business Support Groups.

    • Collaborative approach, valuing diverse team skills to meet shared organizational goals.

    • Adaptability, multi-tasking proficiency, and resilience under high-pressure scenarios.

    • Highly motivated, organized, and self-directed.

Working Conditions & Logistics

  • Schedule: 9:00 AM to 6:00 PM (flexible hours; potential operational support required during non-working days).

  • Calendar: Operating on the US Holiday schedule.

  • Work Arrangement: Remote work available on a voluntary basis for up to 2 days per week after 2 months of tenure
