Who are we looking for?

Our Waterloo office is looking for a Document Controller to support our growing project demands. Come join our growing Engineering Design Organization (EDO) team and play an integral role is moving our process forward! As this is an exciting opportunity to help us streamline our process and build a path forward!

Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:

  • Carry out the management and complete control of documents (receipt, verification, recording, dissemination and filing)

  • Manage and coordinate deliverables and deliverable lists jointly with design teams

  • Manage and coordinate supplier/vendor deliverables and deliverable lists

  • Organize and maintain project documents according to document procedures

  • Transmitting document as per the Document Review, Approval, & Distribution Matrix using the project’s Document Management System

  • Maintain project communications and distribute documents to appropriate project teams

  • Organize and maintain digital documents and reference materials for projects

  • Support to design managers on other project controls.

  • Support design management team with project proposals and/or construction contract administration as needed

  • Proactively monitoring the submission and progress of client/ subcontractor document deliverables and reporting submittal progress

  • Establish working Procedure, DC responsibilities and reporting to ensure effective compliance on using of the project’s Document Management System

  • Participates in the Project meetings in order to explain issues as naming conventions, revision, Document standards and formatting guidelines to the project team

What you will bring to the Team

  • with a willingness to learn

  • Engineering and/or construction office experience is an asset

  • Post-secondary education in documentation technology or equivalent studies

  • Team player with the ability to work independently to meet deadlines, goals, and objectives

  • English essential, proficiency in French languages is an asset

  • Working knowledge and proficiency with one (or more) of the following document management systems: SharePoint,

  • Intermediate to advanced level proficiency with Microsoft Word, Excel, Adobe Acrobat (PDF) and Bluebeam.
