Job description

Job Summary

The Administrative Assistant provides essential clerical and administrative support to ensure smooth operations within the office. Responsibilities include drafting correspondence, scheduling appointments, maintaining paper and electronic files, processing invoices, assisting with reports, and supporting recruiting efforts. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

  • Perform routine clerical tasks such as answering phones, taking messages, and directing calls.
  • Draft correspondence and prepare responses to routine inquiries.
  • Organize and maintain filing systems (paper and electronic) for records and correspondence.
  • Open, route, and distribute incoming mail and materials.
  • Complete and route forms in accordance with company procedures.
  • Schedule and coordinate meetings, conferences, and travel arrangements.
  • Assist with reconciliation, expense reports, invoicing, and annual budget compilation.
  • Administer department programs, projects, and processes.
  • Order and manage office supplies.
  • Make copies and prepare documents as needed.
  • Support recruiting efforts by posting job openings internally and externally, coordinating interviews, and arranging travel for candidates.

Education :

  • High School Diploma or equivalent
  • Experience & Skills :

  • administrative experience.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Excellent organizational and follow-up abilities.
  • High attention to detail.
  • Ability to operate office equipment (fax, copier, phone systems) and use computer applications for word processing, spreadsheets, and database management.
