Position : Administrative Assistant (18-Month Contract) Location : In-office, Oshawa, Ontario Job Type : Full-time, contract (18 months) Reports To : Department Manager Salary : $42,000 (commensurate with experience and skill level) Position Summary : We are looking for a highly organized and detail-oriented Administrative Assistant to join our team on an 18-month, full-time, in-office contract. In this role, your primary focus will be on supporting the day-to-day administrative needs of the team, ensuring smooth operations across various departments. If you have an eye for design and a desire to explore creative opportunities, this role offers the chance to collaborate on exciting design projects, including brochures, websites, and other promotional materials. This is a fantastic opportunity for a motivated individual looking to combine strong administrative skills with creative interests. General Responsibilities and Essential Functions : Provide comprehensive administrative support to the company, ensuring the smooth execution of daily tasks Assist our in-house Marketing team with formatting brochures, logos, flyers, websites, promotional materials, tradeshow preparations, and PowerPoint presentations as needed Format company forms and documents, including creating fillable PDFs Manage office supply orders and handle local pickups for various office needs Perform miscellaneous errands using a personal vehicle; access to a personal vehicle is required Support the Marketing team with administrative tasks, helping to streamline project workflows Contribute to creative projects as opportunities arise, allowing you to learn and expand your skills in areas such as graphic design and web design Perform other duties and projects as assigned Qualifications : Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) Experience with Adobe Acrobat and the ability to create fillable forms is an asset Basic familiarity with design programs (e.g., Photoshop, Illustrator, Adobe XD) is a plus, with opportunities to learn more on the job Strong attention to detail and the ability to manage multiple tasks in a fast-paced environment Experience in web design (e.g., Wix) or content creation for digital and print formats would be considered an asset, though not required Valid driver’s license (G or G2) and access to your own vehicle daily is required Education and Experience : High school diploma or equivalent Administrative experience preferred, with an interest in creative fields seen as an advantage Working Conditions : Office environment with extended periods working at a computer Ability to work independently as well as collaboratively within a team Ability to work under minimal supervision while meeting deadlines How to Apply : If you are a highly organized individual with strong administrative skills and a creative side, we would love to hear from you!
