Job description

The Site Budget and Contract Specialist is a key member of the Site Selection and Contracting team. This person works closely with project teams as well as the legal / contract department in the preparation, negotiation and execution of budgets and contracts (clinical trial agreement – CTA) with investigator sites across Canada and internationally.

This role will be perfect for you if :

RESPONSIBILITIES

Contracts and budgets preparation

  • Obtains the minimum and maximum site budget prepared by Business Development and approved by the Sponsor.
  • Obtains the project-specific site CTA template from Legal Affairs and Contracts approved by the Sponsor.
  • Prepares the contract schedule (study information, timelines and payment information) in collaboration with the Project Manager.
  • Prepares and sends the Sponsor-approved contract and budget to sites for review.
  • Contracts and budgets negotiations

  • Manages budget negotiation with the sites to ensure budget remains within the Sponsor-approved limits and escalate issues as necessary
  • Manages contract negotiation with sites and escalates legal language requests to Legal Affairs and Contracts and to the Sponsor, as necessary
  • Keeps track of progress with contract / budget negotiation and timelines for site activation using CTMS or other tracking system
  • Keeps project team informed of progress and of any potential delays
  • Finalizes the site contract / budget and obtains the necessary signatures
  • Informs the appropriate parties of contract execution in a timely manner
  • Updates CTMS, all necessary trackers, and ensures proper filing of the contract / budget and communications
  • Follow up and close out

  • Manages the site contract  /  budget amendments process during the course of the trial
  • Performs site budget reconciliation during the negotiation process and at study closure
  • May coordinate, with Legal Affairs and Contracts, the review and negotiation of the confidentiality disclosure agreement of the interested sites
  • Maintains and develops a productive and professional relationship with research sites, Sponsor and project teams
  • Participates in meetings with Project Managers and / or Sponsor as required

    Le Spécialiste budget et contrat de site est un membre clé de l’équipe de sélection de sites et contrats. Cette personne supporte les équipes de projet et le département des affaires juridiques dans la préparation, la négociation et l'exécution du budget et contrat réalisé avec les sites de recherche au Canada et à l’international.

    Préparation des contrats et budgets

  • Obtenir les montants minimums et maximums du budget site préparé par le service des développements des affaires et approuvé par le sponsor
  • Informe le département des affaires juridiques et contrats du besoin de préparer le modèle de contrat de site spécifique au projet approuvé au préalable par le sponsor
  • Prépare l’annexe du contrat (informations d’étude, délais et informations de paiement) en collaboration avec le Gestionnaire de projet
  • Prépare et envoie le contrat et le budget approuvés par le sponsor aux sites pour révision
  • Négociation des contrats et des budgets

  • Gère la négociation du budget avec les sites afin de s’assurer que le budget reste dans les limites approuvées par le sponsor et escalade les problèmes au besoin
  • Gère la négociation du contrat avec les sites et transmet les demandes de changements de langage juridique au département des affaires juridiques et contrats, et au sponsor lorsque nécessaire
  • Suit les progrès de la négociation de contrat / budget et des délais d’activation des sites à l’aide du CTMS ou d’autres systèmes de suivi
  • Tient l’équipe de projet informée des progrès et des éventuels retards
  • Finalise le contrat  /  budget, obtient les signatures nécessaires
  • Informe les parties nécessaires de la signature du contrat dans les délais impartis
  • Met à jour les outils de suivi et assure le classement approprié du contrat  /  budget et des communications.
  • Suivi et clôture

  • Gère le processus des amendements de contrat / budget au cours de l’étude clinique
  • Effectue la réconciliation du budget du site pendant le processus de négociation et à la clôture de l’étude
  • Peut coordonner avec le département des affaires juridiques et contrats la révision et la négociation de l’accord de confidentialité des sites intéressés
  • Maintient et développe une relation productive et professionnelle avec les sites de recherche et les équipes de projet
  • Participe aux réunions avec les gestionnaires de projet et / ou les clients, au besoin
  • Profil recherché : PROFIL RECHERCHÉ

    Éducation

  • B.Sc. dans un domaine lié à la recherche clinique ou une expérience équivalente
  • Expérience

  • Minimum de 3 ans d'expérience en recherche clinique dans l’industrie de la biotechnologie, pharmaceutiques ou dans une entreprise de recherche contractuelle (CRO) avec 2 ans d’expérience en négociation de budget site
  • Bonne connaissance des bonnes pratiques cliniques, des normes de l'ICH et des réglementations applicables
  • Aptitudes et connaissances

  • Excellentes capacités orales et écrites en Anglais, le français représente un atout
  • Grande capacité à mener à bien différents projets simultanément, à organiser efficacement le travail et à travailler sous pression conformément aux délais
  • Bon jugement et aptitude à résoudre des problèmes
  • Excellente connaissance de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Expérience dans le service à la clientèle est un atout

    IDEAL PROFILE

    Education

  • Bachelor's degree in a field relevant to clinical research or equivalent experience
  • Experience

  • Minimum of 3 years of clinical research experience in the biotechnology, pharmaceutical or CRO industry, including 2 years of experience managing site budget negotiation
  • Good knowledge of good clinical practice, ICH standards and applicable regulations
  • Knowledge and skills

  • Excellent oral and written skills in English, French is an asset
  • Strong ability to carry out different projects simultaneously, to organize their work effectively, and to work under pressure in accordance with deadlines
  • Good judgment and problem-solving skills
