Job Duties / Qualifications, Skills and Abilities(QSA)
Job Duties Job Duties 1. Work effectively, cooperatively and with minimal supervision to provide administrative support to staff, Human Services Program Heads, instructors, and the students
2. Providing a variety of clerical support functions such as preparing, delivery and opening mail, filing, photocopying, stocking supplies, schedule appointments, maintain a comprehensive filing system (both manual and electronic)
3. Maintain accurate and current data bases. Maintain confidential files in a secure manner.
4. Organize, attend, Record, transcribe and distribute minutes when required at various meetings including Program Advisory Committee meetings.
5. General reception duties on phone and counter which includes responding to information requests in a professional and service oriented manner, discerning nature of the inquiry and providing appropriate referrals.
6. Ability to multi-task in a high volume, high traffic, emotionally charged environment with frequent interruptions.
8. Provide general information and communication with faculty, Saskatchewan Polytechnic staff, including the Dean’s office and continuing education consultant, outside agencies and students as well as the processing of information and documents related to this function. This position provides support to ensure efficient and effective program delivery.
10. Curriculum revisions to course manuals, outlines and related documents. This requires excellent organizational and time management skills with an ability to work independently, proficiency in editing and proofreading while adhering to deadlines. QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE Specific Accountabilities Duties Required Qualifications, Skills and Abilities (QSA) 1. Grade 12 plus a recognized office education or business certificate / diploma and combination of education, training and experience.
2. Minimum of two years recent and relevant experience performing administrative and clerical work.
3. Training and / or experience at the intermediate level in the use of common software packages, i.e. MS Word office suite, banner, and SaskPolytech webpage.
4. Training and / or experience in minute taking and transcribing minutes.
5. Knowledge of common office procedures.
6. Effective interpersonal skills.
7. Effective communication skills.
8. Effective organizational skills.
9. Effective proofreading skills.
10. Ability to work independently under generalized supervision.
