What Will You Do?

Operations Administration

Schedule and Calendar Management

  • Maintaining and updating schedules
  • Coordinating meetings
  • Managing travel arrangements
  • Meeting Coordination

  • Arranging and preparing for meetings
  • Setting up conference rooms
  • Preparing agendas
  • Distributing materials
  • Office Management

  • Ensuring the smooth operation of the office environment
  • Ordering supplies
  • Managing documents

  • Compiling and organizing data
  • Creating spreadsheets
  • Preparing presentations
  • Executive Communication

  • Acting as a point of contact for upper management
  • Order material / supplies as requested for upper management
  • Marketing

  • Work with upper management in establishing a brand across all departments (i.e. report templates, e-mail signatures)
  • Work with upper management in generating quality posts for website / LinkedIn
  • Work with upper management in organizing and executing customer based events
  • Take pictures and videos of manufactured equipment prior to shipment, and on-site activities for website / LinkedIn
  • Human Resources

  • Edit and maintain the company’s HR documentation (i.e. Health and Safety policy)
  • Act as Security Officer on behalf of the government to ensure all employees have government documentation up-to-date for provincial and federal site access
  • Assist upper management in maintaining employee relations (i.e. birthdays, milestones)
  • What Do You Bring?

  • 5 years of experience in a diverse administrative / operations role working collaboratively with cross-functional teams / departments
  • Post-secondary education in Business, Human Resources, or other relevant area of study is required
  • Proven experience communicating ideas to various stakeholders is required
  • Highly organized with a proven track record of meeting deadlines and producing accurate, high-quality work
  • Previous experience in an Engineering or Manufacturing environment is an asset
  • Advanced computer skills including full MS Office Suite, particularly Word, Outlook, Excel. Experience with ERP systems is preferred. Experience with social media platforms including LinkedIn is required. Experience with website maintenance is highly preferred.
  • Experience with photography and / or graphic design, or personal interest in these areas, is strongly preferred
  • Excellent time management skills with an ability to work in a fast-paced and changing environment is required. High emotional intelligence and professionalism is required.
  • Basic to intermediate understanding of Human Resources principles and legislation
  • Analytical with an ability to identify areas for cost savings, efficiency and to communicate ideas for continuous improvement is an asset
  • Ability to work fully in-office
