The Role
Proofpoint is looking for an Office Manager to join our fast growing facilities team! As the Office Manager in our Toronto office, you will organize and coordinate office operations and manage procedures in order to ensure organizational effectiveness, efficiency, and safety. The ideal candidate will be experienced in handling a wide range of administrative and office support related tasks and will be able to work independently with little or no supervision. This person must be well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. This position is full time, and reports to the Facilities Manager, Field Offices.
Your day-to-day :
Serve as the point person for maintenance, mailing, shopping, supplies, equipment, billing, moves, site events, and snack program.
Work with Facilities Manager to create and maintain office policies as necessary.
Organize office operations and procedures.
Coordinate with IT department on all office equipment, employee moves, employee onboarding, etc.
Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
Manage contract and price negotiations with office vendors and service providers
Manage office budget and site cost trackers, ensuring accurate and timely reporting.
Manage the front desk, including badging.
Provide general support to visitors and candidates, including reception duties.
Organize office events in conjunction with Events team.
Comply with and implement company Health & Safety procedures.
Coordinate with global REWS team for mutual support, continuity of operations, and standardization of policy and procedures
Performs other duties and projects as assigned.
What you bring to the team :
Proven office management, administrative, or leadership experience.
Experience with office management systems and procedures.
Excellent time management skills and ability to multi-task and prioritize work.
Organization skills, with solid attention to detail and critical thinking.
Excellent written and verbal communication skills.
Strong proficiency in MS Office, especially Excel and Word.
Able to work independently and with a remote team.
