Overview
The Office Administrator acts as an ambassador for the Office by attending to both internal and external guests in a professional manner. This position is also responsible for the daily upkeep of the office and providing administrative and operational support to various internal departments.
Responsibilities Greet internal and external guests in a courteous and professional manner
Interact with customers, suppliers and contractors in person, on the phone, and by email
Comply with company safety policy and advise the safety procedures to all visitors upon their arrival
Maintain visitor orientation tracking system and employee hiring packages
General office duties, including faxing, mail distribution, creating & maintaining department files
Ensure all machines in common areas are functioning and arrange servicing as required
Order and maintain general office supplies
Manage phone list and reception job aides / manual
Liaise with building maintenance and external vendors providing office services
Assist co-workers with various office tasks (filing, backup functions)
Provide administrative support to safety department (ex. filing & categorizing FLRAs)
Attend various meetings to take minutes when required
Other duties as assigned
Qualifications
Education & Experience : Post-secondary diploma or degree preferred
Experience and knowledge of Microsoft Excel and Word is required.
Experience with SAP is an asset
Working knowledge of Safety programming is an asset
Google Office Suite experience preferred
Understanding of physical and electronic filing systems
Ability to work in a fast-paced environment
