Relevant du vice-président – Actuariat corporatif, vous jouerez un rôle essentiel au sein d’une équipe d’actuaires. Vous apporterez un soutien administratif proactif de qualité en veillant à la fluidité des activités quotidiennes et à la bonne coordination des priorités.

Votre sens de l’organisation, votre rigueur, votre proactivité et votre discrétion feront de vous un partenaire incontournable pour le vice-président et son équipe.

Vous vous réaliserez dans les fonctions suivantes :

  • Assurer l’organisation ainsi qu’un suivi rigoureux de l’agenda de la Vice-président. Tenir à jour l’agenda électronique, convocations de réunions statutaires et autres, supporter l’équipe de direction dans la planification et la coordination de rencontres tant à l’interne qu’à l’externe
  • Planifier, organiser et prendre en charge la logistique des rencontres du vice-président ; participer à l’animation de segments d’ordre administratif et rédiger les comptes rendus du comité de gestion de la vice-présidence.
  • Réserver des salles de réunion et voir à l’organisation de celles-ci (équipement, pauses-santé, repas, etc.) Confirmer aux membres participants leur présence à ces réunions.
  • Manipuler des documents et des dossiers confidentiels tels que des rapports réglementaires
  • Participer activement à l’élaboration des présentations Power Point
  • Planifier les voyages d’affaires (réservations de chambres d’hôtel, d’avion et de train) avec l’outil Concur, compléter les notes de frais du vice-président.
  • Mise à jour du calendrier de vacances de la Vice-présidence et gérer les sites intranet de la Vice-présidence
  • Gérer la bibliothèque des examens d’actuariat et effectuer les commandes de matériel requis.
  • Traiter la facturation pour certains fournisseurs.

Vos talents et qualifications :

  • Diplôme d’études collégiales en techniques bureautique ou en secrétariat.
  • Minimum de 7 ans d’expérience pertinente comme adjoint(e) de direction
  • Maîtrise avancée des outils de la suite MS Office (word, Powerpoint..)
  • Maîtrise avancée de la langue française tant à l’oral qu’à l’écrit et une connaissance fonctionnelle de l'anglais , en raison de la nature des tâches, des outils de travail ou d’interactions avec des collègues, partenaires, clients ou fournisseurs anglophones, ou afin de répondre aux objectifs de croissance de l’entreprise
