General
The Executive Assistant reports to the Acting Director, President & CEO office communications and is empowered to act as an intermediary between the executive and clients and other employees. The Executive Assistant may act as a point of contact for internal and external stakeholders on matters pertaining to the President & CEO and Vice President. The function includes providing an elevated level of confidential administrative and project-based support that aligns with the strategic initiatives on behalf of the President & CEO and the Vice Presidents. This position requires excellent interpersonal communications skills as well as a high level of analytical and confidentiality skills.
Specific Responsibilities
Provides confidential administrative support to the Acting Director and President & CEO.
Assist with the coordination of travel and accommodation arrangements for the President & CEO and Board of Governors as directed by the Acting Director.
Monitors information flow; sometimes acting as a gatekeeper, ensuring the CEO & VP involvement in a project or decision-making process at the right moment.
Proof-reads and contributes to correspondence and reports such as the Business Plan and Annual Report for the Acting Director’s approval.
Provides accurate document management support by composing and / or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts and proposals.
Coordinate the preparation, compilation and distribution of information packages.
Serve as a backup recorder at board meetings as required by the Acting Director.
Develop and maintain filing systems.
Provide research and analytical support for preparation of College reports.
Takes action authorized during the Acting Director’s absence, using initiative and judgment on matters requiring attention and decisions.
Works in collaboration with the executive team to ensure priorities are achieved.
Maintains confidential records and files.
Coordinates administrative supports as required by the Acting Director.
Communicating with Northlands College employees as required on behalf of the President & CEO and Up’s.
Records Committee meetings and out-of-scope team meetings.
Attends committee meetings outside of regular business hours such as regular Board / Committee Meetings.
Perform other responsibilities and duties as may be assigned to move the College’s vision and mission forward.
Decision Making
The majority of decisions made by the Executive Assistant require discretion, a degree of creativity and independent judgement. Decisions will typically have an impact on college image, staff relations, community relations, and board relations.
Education and Experience
Minimum of an Office Administration Certificate or equivalent.
Minimum of two years of relevant experience.
Knowledge, Skills and Abilities
In addition to the education and experience listed above, the Executive Assistant typically has :
Extensive knowledge of administrative support, preferably at the senior leadership level which is typically obtained by completing a minimum of a two-year diploma in administration.
Above average decision-making in accordance with applicable laws and regulations, government policies and procedures, as well as internal policies, procedures, and operational routines.
Demonstrated ability to adapt to change.
The ability to exercise good judgment, integrity, and is honesty in all interactions.
Exceptional discretion, maturity, and the ability to maintain the strictest level of confidentiality;
A professional image portrayed through positive relationships in-person, online, and in telephone interaction.
The ability to represent the Office of the President & CEO in a positive manner at all times.
Demonstrated excellent organizational skills and the ability to work independently.
The ability to effectively prioritize workflows.
Ability to work collaboratively with all contacts.
Ability to work efficiently while meeting tight deadlines and managing multiple tasks.
Advanced skills in the Office 365 platform.
Excellent interpersonal, written and oral communication skills.
A good understanding of the unique interconnected relationships that exist in northern Saskatchewan to help guide relationships and communications.
Proficient understanding of Indigenous values and culture.
Demonstrates a commitment to lifelong learning.
Additional Requirements
must be prepared to schedule hours of work according to the demands of the position including evenings and weekends when necessary (ie. field hours).
must possess a valid driver’s license and be willing to travel, including overnight stays, air travel, and travel on gravel roads.
A criminal records check including a vulnerable sector check is a requirement of the position.
The term of the position is from ASAP till Feb 28, 2026.
