This position is perfect for you! We are currently looking for (2) legal assistants in litigation for one of our clients, a law firm.

Responsibilities :

  • Drafting correspondence, preparing and revising legal documents.
  • Managing deadlines, scheduling meetings and appointments, and maintaining lawyers' calendars.
  • Organizing travel arrangements and bookings for lawyers.
  • Reviewing documents for grammar, format, and compliance with legal requirements and the company's visual identity.
  • Managing files, documents, and records using various storage and archiving applications such as Closing Folders, Sharefile, virtual data rooms, etc.
  • Assisting lawyers in business development projects and maintaining the professional relationship database.
  • Processing data (time entries, expenses) and opening files.
  • Liaising with clients, colleagues, service departments including our Business Center, and external parties.
  • Monitoring lawyers' billing for files in coordination with Billing Coordinators.
  • Transcribing dictations, audio notes, and recordings.
  • Contributing to the successful integration of new team members.
  • Performing any related administrative tasks.

Specifics related to the litigation domain :

  • Finalizing procedures for notification and filing with the court as necessary.
  • Communicating and liaising with bailiffs and court representatives.
  • Ensuring the timely follow-up of procedures.
  • Participating in activities related to swearing in, as needed.

What you need to succeed :

  • College diploma in legal secretariat or college diploma in office automation.
  • College diploma in legal techniques is an asset.
  • 3 to 5 years of relevant experience, including experience within a professional services firm.
  • Knowledge of proceedings in the Federal Court, Tax Court of Canada, and Supreme Court of Canada is considered an asset.
  • In-depth knowledge of litigation procedures in Québec is also an asset.
  • Bilingualism in French and English, both oral and written.
  • Excellent communication skills, both oral and written.
  • In-depth knowledge of Microsoft Office suite.
  • Team spirit, organizational skills, and attention to detail.
  • Ability to demonstrate proactivity, motivation, and anticipate needs.
  • Ability to manage priorities and work under tight deadlines.
  • Ability to demonstrate discretion, critical thinking, and judgment.
