Contract Position

The Wolfville Farmers’ Market is a not-for-profit cooperative that works with over 100 vendors and operates a Saturday Market, Rentals of the building, an online store and delivery service called WFM2Go.

ca and manages numerous projects through the support of grants. It works with full time employees, contractors, part-time employees and contracted interns.

Additionally there are numerous cash systems including Market Money. We are a dynamic market with many services and are excited to share our passion with just the right person.

Contractor Information

  • Starts as early as July 15th
  • Anticipated hours : 10-15 hrs / week
  • $25 / hr

Responsibilities :

  • Cash Systems (Petty Cash, Market money Gift Certificates and Nourishing Community Program)
  • Online Merchant Services and Square POS
  • Banking (Visa, ACH, Deposits)
  • Record day to day financial transactions and complete the posting process
  • Verify that transactions are recorded correctly in QBO
  • Payroll using QBO Payroll system for bi-weekly and monthly pay periods. Entering vacation leave, sick leave and other leave entitlements correctly into the system. Issuing ROEs
  • Monthly payroll duties include filing the PD7A document, Submitting the payroll source deductions within the RBC Tax filing system, submitting WCB Payment online monthly, providing the PD7A in monthly report to Executive and / or Board.
  • Monthly reconciliation activity on credit card and bank accounts
  • Annual payroll duties include reconciling full year activity, making QBO adjustments as necessary, preparing T4’s and submitting T4 and summary to CRA.
  • Accounts Receivable Verifying invoices within QBO and following up on outstanding accounts.
  • Accounts Payable Entering bills into QBO and processing payments.
  • Carry out account reconciliation within QBO monthly. This will include posting of any tax payments, loan repayments and other one-off’ type entries.
  • Register as Client Rep on the CRA site and review the file monthly minimum. Action any notices on the file in a timely manner and notify Executive as necessary.
  • Complete GST reports within QBO and submit monthly GST Report to RBC Tax filing system, including payment via this platform.
  • Assist with creating of new divisions / income streams within the QBO file as necessary review the file regularly to ensure ledger reflects current activity, keep an eye on any discrepancies between actual and QBO file for bank accounts weekly.
  • Provide advice to specific accounting / bookkeeping questions from in-house as they arise. If necessary,assist in phrasing the questions needed to ask the Accountant.

Provide general Bookkeeping knowledge and assistance to understand the data on the financial reports as requested.

  • Enter data, maintain records and create reports and financial statements
  • Enter grant data to support financial reports for grant agencies
  • Provide monthly P&L, Balance Sheets, Payroll summary and tax payment evidence as a minimum monthly. Create additional Finance reports as per Executive or Board requests.

This normally includes a presentation of the annual report to the Board at the AGM.

For year end, carry out full review of the QBO file, complete all necessary reconciliation activities and provide draft reports to the Executive.

Once input has been received, make any adjustments and communicate with the Accountant for all year end queries.

Enter all Journal Entries provided by the Accountant for the full year end tax wrap.

Requirements and Skills

  • Proven bookkeeping experience, ideally with a not-for-profit
  • Solid understanding of basic bookkeeping and accounting payable / receivable principles
  • Proven ability to calculate, post and manage accounting documentation and financial records
  • Data entry skills along with a knack for numbers
  • Advanced experience with spreadsheets and proprietary software
  • Proficiency in English and in MS Office
  • Customer service orientation and negotiation skills
  • High degree of accuracy and attention to detail
