We are looking for an Office Coordinator to join our dynamic team. The Office Coordinator will be responsible for various activities relating to office administration for Global X, supporting all departments.

Responsibilities : Office Coordinator : Greet clients and visitors in a professional and friendly mannerOrganize office operations, including supplies, equipment management and maintenanceProcess incoming and outgoing shipments, sort incoming mail, faxes, and courier deliveries for distributionMaintain and update archival storage via the online portal with critical attention to detailCoordinate with marketing / sales to uphold an optimal inventory of marketing promotional merchandise items, including trackingPurchase, receive, store and restock office supplies and kitchen supplies;

ensure all items are kept organizedProvide support to the Executive Team including preparation of expense reports and ad hoc requests / reportingWork closely with the Sales Team in providing support in various administrative capacities, such as the ordering of kits and the distribution of items to client officesArrangements for in-office training, all-staff events and other staff meetings / company events, including set up, clean up, materialsMaintain a welcoming, tidy, collaborative environment in the kitchen and common areas.

People Support : Safety committee member including policy enforcement and fire warden dutiesCoordinate and attend Employee Advisory Committee, ETF University meetings Ad hoc data coordination for reporting and attendance i.

e. all employee designations, building events Responsible for travel pre-approval tracking process and travel logMaintenance of office access system and coordination with building security, vendorsManage the boardroom calendars and assist with technology requirements Skills and Experience : Detail-oriented and works with a high degree of accuracyAbility to safeguard confidential informationHighly organized and flexibleAbility to multi-task and meet tight deadlinesStrong working knowledge of Microsoft Office Suite (Outlook, Excel and Word)Undergraduate degree Knowledge of Salesforce and SAP Concur software is an asset3+ years’ experience in a similar role.
