The opportunity : Located in Edmonton, Alberta, the Assistant Property Manager will be responsible for supporting all aspects of the day-to-day property management activities of the properties in the assigned portfolio.
What you will do :
Property Management :
- Liaise with accounting staff, tenants, building operators, and contractors in a professional, courteous, and efficient manner.
- Conduct regular building, common areas and vacant space inspections. Document accordingly.
- Oversee tenant surveys, ensuring distribution of survey on a timely basis and encouraging maximum participation of all tenants.
Review survey responses, analyzing trends and concerns. Communicate final results to tenants using survey tools available.
Follow up with all tenants providing written feedback on overall ratings and speak to all tenants to ensure issues have been dealt with to the satisfaction of the tenant.
Maintenance and updating of tenant contact information, for timely collection and recording of tenant insurance certificates.
Assist with insurance and appraisal tours as directed.
- Tender and administer all regular operating contracts as directed. Update and maintain contract summaries.
- Available to assist in resolving emergency situations which may require attending the site, contacting and updating BentallGreenOak team, tenants and contractors via email and / or phone.
- Monitor and follow up on tenant maintenance requests to ensure overall service delivery is consistent with BentallGreenOak standards.
Review monthly reports and follow up as required.
- Embrace and pro-actively support BentallGreenOak’s culture of environmental sustainability, and corporate and social responsibility
- Assist with tenant events and tenant appreciation initiatives as directed.
Project Management :
- Assist with tenant and Landlord construction capital coordination, including tendering, awarding and executing approved projects.
- Assist with Sustainability initiatives including ForeverGreen, BOMA BEST and Fitwel Viral Response building certifications.
- Assist with tenant move-ins and move-outs, including Welcome Package checklists and procedures.
Financial & Reporting :
- Preparation of annual budgets including data input and compilation of final package. Manage property budgets, review invoices, and ensure payments are made within applicable timelines.
- Prepare monthly owners reports, including analysis of financial statements and variance reports.
- Ensure the timely review and distribution of annual and interim rental statements and year-end recovery statements.
- Assist with AR collection, as required.
- Verify and ensure that accounts payable invoices are entered and approved in Yardi in a timely manner, consistent with the cheque run schedule.
- Monitoring of lease related payments (, progress billing on work orders, tenant allowances, etc.).
- Other tasks and responsibilities as may be required from time to time.
Who you are :
- University degree or diploma in related area (marketing, public relations, advertising or business administration).
- Minimum 5 years of marketing experience preferably in a commercial real estate environment.
- Some working knowledge of graphic design software and basic / intermediate level graphic design capability.
- A strong and demonstrable understanding of digital and social media strategy, and experience with developing or overseeing the production of web-based content.
- Excellent oral and written communication and presentation skills; ability to develop and sustain productive and cooperative working relationships at all levels;
ability to exercise confidentiality; committed to building relationships with industry peers and trade associations.
- Ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes.
- Aptitude with Word, Excel, PowerPoint, web development, social media applications and listening tools, and graphic / publisher programs.
- Advanced understanding of marketing and customer experience concepts as they relate to the property management industry;
ability to interpret, organize and analyze data (including financial data).
- Ability for frequent out-of-town travel (30%).
- Must have a valid driver’s license at all times during employment.
- Police Clearance A criminal verification check is required for employment.
