Administrative Assistant I

The Opportunity
Reporting to the Team Lead, Academic Advising, we are currently recruiting an administrative assistant who will provide administrative and advising support for the School of Academic Services and will directly assist our advisors, faculty and staff.
This position welcomes visitors and students, and handles general enquiries, answering questions, directing, or providing information as required.
As a friendly and enthusiastic professional, you must possess strong communication skills and enjoy working within a collaborative environment.
You also have strong organizational skills and have great attention to detail. You are an excellent communicator who enjoys collaborating with a team.
The Role
- Serve as first point of contact for prospective and current students
- Manage calendars including booking appointments and meetings for academic chairs and advisors. Book appointments with appropriate academic advisor for students requiring assistance with program progression, academic standing and / or non-routine questions
- Respond effectively to a high volume of email, phone and in-person inquiries to ensure questions are answered in a timely and accurate manner
- Monitor advising mailbox and disseminate program information to students through email; develop email templates, as required
- Compile content for student newsletter
- Maintain reception chalkboard and current poster information
- Prepare presentation materials and coordinate meetings and events including booking facilities and resources, compiling and distributing agendas, transcribing minutes and ordering catering
- Support student clubs including room bookings, catering, coordination of parking passes and liaising with industry members
- Administrative support for projects and data collection, Program Quality Assurance (PQA), SAIT Start and Orientation
- excellent customer service to all visitors, students, faculty and staff
- Demonstrate professionalism and a service focused attitude when interacting with students and industry partners
- Support the administrative team in identifying and developing best practices
- Provide coverage for administrative team members’ absences
- Other administrative support work as required
Qualifications
- Minimum of a high school diploma
- Office professional certificate or diploma in Administrative Information Management, Business or Education preferred
- Equivalent combination of education and experience may be considered
- Minimum of 3 years of administrative high-level customer service work experience
- Previous experience in a post-secondary work environment an asset
- Advanced computer skills in all Microsoft Office programs
- Banner ERP experience an asset
- Must demonstrate professionalism and a service focused attitude when interacting with students, guests, and industry partners
- Ability to maintain a positive attitude with an excellent work ethic
- Exceptional verbal, written and interpersonal communication skills with a focus on student success
