Senior Operations Specialist
Key Responsibilities
Reporting into the Senior Manager, the Senior Operations Specialist will :
- Manage the Vendor Contract management process, intake and offboarding of contractors for the IT department.
- Work with procurement teams to lead related sourcing projects.
- Collaborate with internal IT stakeholders, business groups and external suppliers to co-ordinate and manage procurement projects, statement of work, key deliverables, contracts, and vendors.
- Interpret contracts and provide advice and guidance to others as required.
- Develop estimates of time and resources required for a variety of events and activities.
- Function as a liaison between Supply Chain Management, suppliers, and other departments.
- Place approved purchase orders with vendors, ensuring that purchases arrive on time, and notify of backorders and delays.
Updates all internal systems to reflect PO submittals and alternations.
- Resolve outstanding purchase request issues and product returns under the RMA / RGA process, as well as with Accounts Payable to resolve invoice discrepancies.
- Update all internal systems to reflect Contract and PO submittals and alternations.
- Track cost savings as Key Performance Indicators (KPIs) on all procurement activities.
- Contribute to cross-functional team meetings, provide progress updates, and identify areas for process improvements.
- Lead the preparation of budgets, updates of forecasts and issuance of variance explanations.
- Provide supply chain advice and recommendations to others.
- Liaison between business unit, supply chain management and legal teams.
- Manage agreement terms with vendors.
- Process purchase orders and purchase requisitions in Zymeworks ERP system in accordance with SOX compliance and Finance oversight, while ensuring accurate documentation.
- Work with team leads and management to generate program status updates and program review communications.
- Tracks and manages data, and create reporting for the department as needed.
- Track and manage all IT software and hardware applications to ensure licenses are renewed within a timely manner and company compliance policies are adhered to
- Track cost savings as Key Performance Indicators (KPIs) on all procurement activities.
- Contribute to cross-functional team meetings, provide progress updates, and identify areas for process improvements.
- Lead the preparation of budgets, updates of forecasts and issuance of variance explanations.
- Perform other related duties as assigned.
Education and Experience
- 5-10 years’ relevant work experience in admin or contracts management required.
- Experience working within an IT department or industry is required.
Skills and Abilities
- Experience with SAP and Ariba is required.
- Previous experience working with Jira is an asset.
- Project admin or coordination experience is an asset.
- Proficiency with MS Office, utilization of PM software (Smartsheet, MS Project or other Gantt software).
- Exceptional organizational skills and demonstrated ability to maintain a high level of efficiency and accuracy while maintaining a broad strategic perspective.
- Demonstrated ability to think critically, analytically and respond to a broad range of activities with a high level of independence.
- Demonstrated effective oral and written communication skills with the ability to professionally interact with Project Leads, IT Leads, and functional area representatives, CROs.
- Knowledge of purchasing standards, policies, procedures, and strategies.
- Ability to address details while keeping big-picture goals in mind.
- Good problem solving and analytical thinking skills.
- Proven people skills with the ability to work collaboratively as a member of a cross-functional team. Ability to establish and maintain effective working relationships.
