Portfolio & Project Coordinator II
Overview
Supports more experienced team members on small to large-scale or complex initiatives or requests, as well as strategically important short-term engagements that deliver business outcomes.
On a project basis, plans and participates in the gathering and analysis of information for defining project scope, business requirements, process definition, training, testing and other organizational change management activity and documentation to support project delivery.
Performs routine to moderately complex analysis and research in support of business goals and strategies. Defines and implements modifications to solve problems.
Assists in day-to-day project support. Maintains strong partnerships with internal and external partners.
Scope Participate in the planning and implementation of new projects, products, programs and initiatives to achieve short and long term business objectives and strategic outcomes.
Support delivery of portfolio and project management processes including but not limited to ideation, work intake, prioritization, initiation, planning, execution, reporting and monitoring, and closure to ensure projects and / or portfolio run effectively and smoothly.
Support education of stakeholders on portfolio and project management to ensure accountability and adherence to the processes.
Support portfolio and project planning processes, including communication of value, risk management, capacity planning, performance, optimization, and governance.
Roles & Responsibilities
Gather and maintain project requirement lists, coordinating across operations and delivery for multiple requirements.
- Provides weekly project updates including action item updates.
- Schedules and coordinates project reviews and follows up on assigned actions.
- Effectively and accurately communicate status to the project team.
- Assist with maintaining and monitoring project plans, project schedules, work hours and expenditures.
- Assists with identifying project issues, determining the right team member to provide a solution, and / or escalating the issue to the client manager.
- Takes part in organizing, attending and participating in stakeholder meetings.
- Documents and follows up on important actions and decisions from meetings.
- Collaborates with various regional teams responsible for project resources and ticket resolution.
- Assists with daily monitoring of the ticketing system, reassigning tickets where required.
- Produces regular reports as required.
- Assists with identifying trends or recurring problems and escalates to management for resolution.
- Assists with locating and defining new process improvement opportunities.
- Helps to develop and maintain knowledge and skills and keep up-to-date with new processes and procedures.
- Works closely with SDMs / Project Managers to understand and maintain focus on their analytical needs, including assisting with identifying critical metrics and KPIs, and delivering actionable insights to relevant decision-makers.

Minimum Qualifications
- Minimum of 2 years work experience
- Strong interpersonal skills necessary for business partner relationships within and outside the organization.

- Ability to work on multiple projects and assignments concurrently
