EDUCATION

A secondary school diploma from a recognized institution or an acceptable combination of education, training and / or experience.

If you were educated outside of Canada, you must have your certificates and / or diplomas assessed against Canadian education standards through a recognized credential assessment service.

EXPERIENCE

Experience providing administrative support services in a work environment (which could include volunteer work). For example : Preparing, organizing and storing information in paper and digital form, data entry, dealing with queries on the phone and by email, processing service requests, reception services, scheduling appointments or meetings, booking rooms, arranging travel, etc.

ASSET QUALIFICATIONS

EDUCATION

Graduation with a certificate, degree or diploma from a recognized post-secondary institution.

EXPERIENCE

  • Experience providing administrative support services in one of the three levels of the Government of Canada (federal, provincial, territorial or municipal (city)).
  • Experience drafting, formatting and proofreading correspondence.
  • Experience using Excel for complex tasks. For example : PivotTables, formulas, macros, data manipulation, conditional formatting, dashboards, etc.
  • Experience preparing reports, analyzing or interpreting data.
  • Experience training, coaching and / or supervising employees.
  • Experience managing the daily operations in an executive* office. For example : Managing agendas, coordinating events, scheduling meetings, or making travel arrangements.
  • Executive refers to executive level positions Director level or above.
  • Experience in providing legal or administrative support services to legal professionals.
  • Experience providing support in Contracting, Procurement or Material Management.
  • Experience providing support in Human Resources. For example : Classification, staffing, policies, programs, labour relations, Compensation and Benefits.
  • Experience providing support in accounting operations. For example : Accounts payable, accounts receivable, travel, etc.
  • Experience in financial administrative duties. For example : Preparing financial reports, monitoring, and reporting on budgets and asset management.

OPERATIONAL REQUIREMENTS

Conditions of employment

Various security clearance levels.

Some positions may require a higher level security clearance depending on the requirements of the position to be filled.

Medical Clearance* for positions located in the Department of Justice, Northern Regional Offices (Whitehorse, Yellowknife and Iqaluit) only.

The incumbent and their dependents may be required to obtain Health Canada medical clearance in accordance with the Isolated Posts and Government Housing Directive.

EVALUATION PROCESS

Target date for the first extraction of applications : March 2024

STEP 1 APPLICATION

You will need to submit your application online to confirm your interest and eligibility for consideration.

Please note that it is not sufficient for applicants to simply state that they meet the criterion or list their current responsibilities or to direct to the resume.

Rather, they must provide directly in each screening question concrete examples that illustrate the activities they have actually performed and explain how these activities meet the requirements.

Applicants who do not clearly demonstrate how they meet the essential criteria (education and experience) will be screened out.

Ability to communicate effectively in writing will be assessed through the screening questions.

STEP 2 ONLINE EXAM (PART 1 & 2)

Candidates that are pulled from inventory extractions will be invited to complete a two part online exam which includes multiple-choice questions and one written question.

Screening of applications will be conducted for those that pass the exam.

As part of the selection process, we will be using an online testing software - VidCruiter.

Candidates may be required to meet asset qualifications, organizational needs or may be subjected to additional assessments to evaluate other qualifications specific to the position being staffed that may or may not be listed in this job advertisement.
