Job Summary

The Office of the Provost and Vice-President Academic (VPA) is responsible for the overall direction of the academic mission of the University at its Vancouver campus.

The office provides leadership in strategic planning financial planning policy development and implementation the recruitment and retention of scholarly personnel and infrastructure in order to achieve the Universitys broader aspirations.

It is a large and diverse portfolio that includes 12 Faculties and several academic support units including the Library UBC IT Enrolment Services CTLT and the Academic Integrity Hub.

The Academic Integrity Hub supports all dimensions of academic integrity and academic misconduct at UBC including general awareness teaching and learning and direct facilitation of academic misconduct cases. The Hub delivers programming across this large program area. The Academic Integrity Hubs objectives are to promote awareness of academic integrity to support students and faculty to teach and learn about academic integrity and to support the academic misconduct process and facilitate the diversionary process. The Hub also works on supporting the implementation of the diversionary process one of the pathways of the academic misconduct process following the introduction of the diversionary process into the Academic Calendar.

The Senior Program Manager Academic Integrity is part of the Academic Integrity Hub Team and leads the implementation and facilitation of the diversionary process at UBC Vancouver. They have oversight and accountability over the diversionary process including processes programs and case management. Their work on the diversionary process also includes the planning development assessment and delivery of educational resources and programs. As the diversionary process lead the Senior Program Manager Academic Integrity supervises mentors and trains other Academic Integrity Hub team members around the processes and facilitation approaches. They also serve as a liaison to the Faculties Associate Deans and Deans Delegates and provide information and resources to academic integrity staff and Deans delegates in the Faculties about the diversionary process and the academic misconduct process.

The Senior Program Manager Academic Integrity is responsible for the planning design and delivery of educational programs and resources for students and for instructors around academic integrity and academic misconduct topics in collaboration with the Academic Integrity Hub team. This includes resources on academic integrity concepts the academic misconduct process the diversionary process prevention current trends among other topics. The Senior Program Manager Academic Integrity will conduct needs assessments and develop new programs and / or conduct re-design of programs where needed to meet institutional goals.

They will also serve as the technology lead for the Academic Integrity Hub managing the central website ensuring compliance around UBC IT standards privacy and confidentiality and serving as the point of contact for new IT tools and services.

The Senior Program Manager Academic Integrity will support the Academic Integrity Director in the strategic development planning and operations for the Academic Integrity Hub as required.

To undertake and fulfil the performance of duties this role requires strong communication skills initiative creativity and an understanding of a broad range of cross-University perspectives. This position regularly requires the exercise of a high degree of confidentiality and a comprehensive knowledge of the University its programs and personnel.

Organizational Status

This position reports to the Academic Integrity Director and works with the Academic Integrity Coordinator.

Work Performed

The work performed will span across the three pillars of activity of the Academic Integrity Hub : awareness education and support. The Senior Program Manager Academic Integrity is responsible for :

Diversionary Process (70%)

Leading the diversionary process for academic misconduct across the Faculties at UBC Vancouver including :

Providing oversight and accountability for the diversionary process escalating issues to the Academic Integrity Director where needed.

Leading diversionary process case meetings with students.

Developing procedures and resources for Faculties and for students both proactively and responsively.

Planning and conducting consultations with key stakeholders around the impacts of the diversionary process including University Counsel Faculties the Ombudsperson for Students student leaders and student advocates.

Responding to requests for information and questions from the UBC community around the diversion option. Responding to problems if they arise.

Responding to requests for information and questions around the academic misconduct regulation from the UBC community. Responding to problems if they arise.

Providing education and consultation to Deans Offices and staff in the Faculties for the diversionary process including meeting with Faculties and establishing new partnerships with the appointment or change in Deans Delegates within Faculties.

Evaluating the effectiveness of the diversionary process in consultation with the Office of the Provost and Vice-President Academic University Counsel Deans Offices staff and other partners and continuously evolving practices and guidance based on feedback received.

Conducting regular check ins with Faculties (Deans delegates and staff) to ensure awareness and education needs are met around the diversionary process.

Proactively identifying risks and opportunities in the diversionary process through identifying gaps and vulnerabilities within the process and providing strategies to close the gaps and recommending improvements.

Developing and enforcing an annual review cycle for the diversionary process to ensure compliance around Integrity Plan records and Integrity Plan outcomes.

Developing systems to ensure privacy and confidentiality of the diversionary process and records of the Academic Integrity Hub are maintained.

Conducting regular needs assessments around the use and impact of the diversion option and optimizing the Academic Integrity Hub process as needed.

Collecting data for the use of internal counsel and leadership on the diversionary process. Preparing statistics and highly confidential reports as requested for the use of internal counsel and leadership including Deans etc.

Developing best practices and resources in consultation with Faculties University Counsel Ombuds and student leader and advocates. Staying up-to-date with current practices in other institutions regarding the diversionary process including practices in equity and accessibility restorative practices and identifying emerging areas and priorities for the University.

Developing and maintaining strong relationships with Faculties and administrative units including PACSD University Council VPS Ombudsperson Office AMS and GSS student advocates etc. to align efforts for a more centralized approach to academic integrity.

Training new team members in the Academic Integrity Hub in the facilitation of the diversion option.

Technology Lead (15%)

Serving as the technology lead for the Academic Integrity Hub including the management of current systems and exploration of future systems and tools including :

Managing the academic integrity website as an educative resource and repository of information regulations processes and other materials outlining UBCs culture of academic integrity.

Accountable for conducting periodic review and resource updates to the website and developing and enforcing a review calendar to ensure resources on the website are up-to-date and functional.

Ensuring day-to-day IT systems are working smoothly and coordinating with UBC and external IT partners where needed.

Ensuring privacy and confidentiality guidelines are respected in all IT systems and records for the Academic Integrity Hub.

Leading on work around the use and exploration of any case management system or other tools. Managing and maintaining the CMS system and interfacing with the vendor.

Education and Capacity Building (15%)

Consulting with Faculties and students around academic integrity education needs and programs.

Creating awareness of academic integrity through workshops presentations and resource development including delivering custom workshops.

Evaluating the effectiveness of programs; determining and implementing changes to educational materials and practices where required to better meet educational goals of academic integrity initiatives.

Providing expertise in the area of academic integrity and acting as an expert resource for the campus community.

Under the direction of the Academic Integrity Director will lead one or more projects depending on the needs of the Academic Integrity Hub.

Participating in other duties as needed.

Consequence of Error / Judgement

This position requires judgment tact discretion and initiative to an outstanding degree. Errors in judgment with internal or external constituents could have negative impact on the VPAO and the University resulting in legal suits poor public relations financial costs loss of credibility.

Work must often meet tight deadlines and requires the incumbent to perform well under pressure. The incumbent must demonstrate exceptional public relations and interpersonal skills in dealing with students as well as faculty members. Inappropriate or errant communications of sensitive issues could have a serious impact on operations and have legal implications.

Exercises judgment and initiative in handling matters of a non-routine nature requiring the interpretation of University and Faculty guidelines procedures and policies. Must exercise tact and diplomacy in interacting with students staff and faculty from UBC. Expected to exercise judgment in establishing priorities and carrying tasks through to completion in a timely manner.

Supervision Received

Works under the direction of Academic Integrity Director .

Supervision Given

The Senior Program Manager Academic Integrity will be expected to provide supervision and mentorship to the Academic Integrity Coordinator and student hires.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of four years of related experience or the equivalent combination of education and experience.

Preferred Qualifications

A good understanding of the complexities of academic integrity in a higher education context is essential.

Demonstrated ability to understand and apply policies and procedures and knowledge of UBC structure.

Strong project-management critical thinking and problem-solving skills.

Knowledge of workshop design and implementation.

Experience delivering presentations or workshops in a university environment.

Experience working with students staff and faculty in a research-intensive university.

Excellent verbal and written skills. High attention to detail and rigor.

Strong sense of initiative and creativity.

Able to work effectively independently and in a team environment.

Demonstrated success in using a variety of technologies to deliver programming. Proficiency in MS Office including Word Excel Outlook and PowerPoint. WordPress experience would be an asset.

Excellent understanding of the operational structure of UBC is highly desirable.

Ability to exercise tact and discretion effectively engage and work across a broad range of external and internal stakeholders including; faculty members department heads functional experts and other project specialists regulatory agencies and partner institutions.

Ability to accurately gather organize analyze and synthesize complex information from a wide variety of stakeholders priories and make strategic recommendations for action.

Able to work across multiple projects to synthesize issues and challenges identify key information and issues and effectively resolve. Ability to review summarize reports set priorities organize workload and work within deadlines in a busy and complex environment.
