Proposal Coordinator

Role Description

The Proposal Coordinator will be a key player in a small, dynamic marketing and graphics team. You will work with diverse project teams and coordinate with different departments and specializations within the firm. Working with senior leadership, you will help determine projects to pursue and put together proposal responses that align with Arcadis’ strategic plan. The successful candidate will be proactive, collaborative, detail-oriented, and able to follow and improve processes.

Role Accountabilities

• Review and analyze inbound proposal requests (such as RFQ, RFP, EOI, SOA, etc.) to prepare responses in coordination with proposal leads, professional technical staff, and marketing / graphics teams.
• Gather and analyze business-related information, write, edit, and produce proposal documents.
• Act as the primary point of contact during the proposal process, creating a submission schedule and providing internal communication on deliverables and deadlines.
• Generate, collect, disseminate, and store proposal-related information, coordinating team members and implementing internal deadlines to meet proposal due dates.
• Assist with final close‑out processes and file management.
• Maintain and update CRM and content library with high‑quality content.
• Provide non‑technical writing support for proposal efforts, including copywriting and editing, ensuring proposals adhere to the company’s editorial and brand standards.

Key Attributes

Qualifications and Experience

Preferred : Two years in the AEC Industry.

Post‑secondary degree in English, Marketing, Communications, or related discipline (asset).

Salary Range

$55,000–$60,000 per year. Actual salaries vary by location, skills, experience, and qualifications.
