Responsibilities
- Arrange and manage travel itineraries, accommodations, and related logistics for the Vice President, ensuring smooth and efficient travel experiences.
- Organize and submit expense reports for reimbursement, maintaining accurate records and ensuring timely processing.
- Assist with managing the Vice President’s calendar, including coordinating meetings, appointments, and events. Ensure all scheduling conflicts are resolved promptly.
- Engage in a hybrid role, with the flexibility to be present in the office approximately 50% of the time.
- Offer support in a modern, collaborative workspace in Nova Scotia.
- Handle sensitive information and maintain confidentiality regarding executive matters and company information.
- Act as a point of contact between the Vice President and internal / external stakeholders, ensuring effective communication and relationship management.
- Draft, proofread, and format documents, reports, ensuring accuracy and professionalism.
- Manage and prioritize tasks and projects for the Vice President, ensuring timely completion and alignment with business objectives.
- Conduct research and analysis on various topics as requested by the Vice President, providing insights and recommendations based on findings.
- Utilize advanced skills in Microsoft Excel and PowerPoint to create and manage reports, presentations, and other documents.
- Collaborate with the Inside Sales team to prepare reports, analyze data, and create presentations that support sales activities and strategic initiatives.
- Support in planning and global and regional events such as business review meetings and trade shows.
Requirements
- 4-6 years of experience in an administrative or executive support role, with a focus on travel coordination, expense management, and scheduling.
- Intermediate to advanced proficiency in Microsoft Office, particularly Excel and PowerPoint.
- Experience with data analysis, report generation, and presentation creation is essential.
- Ability to work a flexible schedule, including in-office presence when required.
- Strong verbal and written communication skills, with the ability to interact effectively with colleagues, vendors, and senior management.
- Excellent organizational abilities, attention to detail, and the capacity to manage multiple tasks and priorities simultaneously.
