Position Summary

BCIT’s Foundation is seeking a regular, full-time (1.0 FTE) Donor Relations Coordinator . In conjunction with the Associate Director, Annual Giving & Stewardship, develops, facilitates, and implements fundraising and stewardship strategies to raise donations and deliver exceptional donor stewardship through strategic engagement with various donor groups.

Leads the enhancement of relationships between donors and BCIT through strong relationship-building activities such as cultivation, recognition and events

This role will be responsible for a portfolio of select donors to renew giving, meet set financial targets and to identify opportunities to move donors into the major giving and planned giving pipelines.

Duties & Responsibilities DUTIES AND RESPONSIBILITIES :

  • Develops and implements a stewardship program that effectively supports building of long-term relationships with donors.
  • Plans and executes fundraising appeals including managing project timelines, identifying target audiences towards establishing list criteria and evaluating through measurement the effectiveness of appeals, fundraising outcomes, messaging and tools.
  • Participates in annual goal setting for the development team, developing and implementing fundraising and stewardship deliverables.
  • Leads the coordination and maintenance of the Foundation’s recognition library, stewardship matrix and recognition style guides on an annual basis.
  • Provides high-quality donor stewardship through timely appreciation calls, cultivation activities and follow-ups.
  • Builds relationships with internal stakeholders to help connect and further deepen the relationships with donors.
  • Collaborates with the Development team in ensuring that all stewardship initiatives, including recognition events and impact reports are delivered in a timely and appropriate manner.
  • Identifying and leading synergies within the Development Team to enhance donor experience.
  • Produces reports and makes recommendations for improvements.
  • Prepares annual budget recommendations and works within approved budget related to annual giving, donor stewardship and recognition programs.
  • Coordinates and executes a variety of hard copy and electronic filing systems to ensure accurate donor records are maintained.

Planned Giving :

  • Supports the Associate Director and the department by :
  • Planning and conceptualizing materials for use in the Planned Giving program, including : coordinated advertising campaigns, collateral, surveys, survey response packages, donation forms and program information for the BCIT Foundation website.
  • Building relationships with a caseload of prospects and donors for the long-term.
  • Preparing periodic reports for bequests, estates in progress and legacy inquiries.

Recognition :

  • Drives the day-day activities to the various recognition related activities by :
  • Coordinating and executing an effective program that appropriately recognizes donors.
  • Coordinating the production of recognition materials based on donor recognition guidelines including : campus markers, donor walls and plaques.
  • Maintaining the database of campus naming opportunities, both completed and available.
  • Identify potential naming opportunities and providing guidance on appropriate levels of recognition to support fundraising activities.
  • Coordinating the naming approvals within the Institute and the submissions to the Provincial Government, in alignment with BCIT and provincial government policies.
  • Coordinating development of donor recognition communication with internal and external audiences, including the website and social media channels, working in collaboration with Advancement Communications.

Event Planning :

  • Leads the planning and execution of donor recognition events with support of Development staff.
  • Develops the events’ plans, budgets, agendas and themes; Establishes timelines to ensure deadlines are met and objectives are achieved.
  • Arranges catering, facilities requests, photography, parking and other event requirements.
  • Develops print and electronic event materials, speaking notes and briefing documents as required.

Administrative Support :

  • Participating in Records Custodian training and remains current with record keeping practices, policies, and procedures (both BCIT, the Foundation and FOIPOP);
  • Undertakes related duties and special projects as assigned, consistent with the job grade of this position.

Qualifications QUALIFICATIONS :

Definition :

Education :

Completion of two years post-secondary education or Diploma of Technology in the areas of marketing and communications, fund raising or business administration.

License(s) / Certifications(s) :

Must have valid BC driver’s license and access to a reliable vehicle

Experience :

Two years general experience plus four years’ experience in a similar position inside or outside the institute, including specific experience in fundraising and special event planning and coordination.

Software / Computer Application(s) and Expertise :

  • MS Office with Word, Excel and PowerPoint at the intermediate level
  • Experience with Raiser’s Edge, NXT an asset

Communication / Interpersonal Skills :

  • Excellent written, verbal and interpersonal communication skills
  • Experience and ability in preparing and delivering presentations to internal and external groups
  • Team player with proven experience working effectively with internal and external stakeholders.

Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.) :

  • Proven ability to plan, prioritize, implement, oversee and coordinate multiple projects
  • Keyboarding at 50 wpm

Other Skills / Abilities :

  • Ability to work a flexible schedule as required
  • Ability to exercise considerable initiative and judgment and deal with staff and donors with tact, diplomacy and professionalism
  • Sound experience in collaborating on event planning and execution.
