Job Description :

Our client within commercial and residential real estate requires a Director of Finance to join their team.

Responsibilities :

Financial Statements / Year End Billings / Accounting

  • Prepare annual financial statements (including working papers, journal entries, drafting of statements, etc.) for operating companies (10-15 companies)
  • Prepare annual financial statements for holding companies
  • Attend and present the financial statements at the annual meeting to the shareholders and Board of Directors
  • Review year-end audit working paper files, coordinating reviews and notice to readers and ensure proper filing of tax returns
  • Maintain year-end working paper files for many different corporations
  • Maintain US investments, prepare annual financial statements and file tax returns in liaison with both the US and Canadian accountants for US corporation.
  • Analyze statement of adjustments and post opening balances including setting up of new properties in Yardi
  • Prepare the final year end TMI reconciliations and billings to all commercial tenants and post entries to the general ledger
  • Have the ability to analyze and review leases in order to assist property managers and in the year end billing process
  • Correspond with commercial tenants as needed on year-end billing queries
  • Prepare monthly financial statements for clients and determine monthly distributions
  • Liaise with 3rd party auditors and staff as required and answer owners’ requests
  • Discuss tax matters with our outside accountants as required
  • Oversee all general ledgers and bank reconciliations
  • Work with property management department to setup commercial tenants to properly account for security deposits and commissions
  • Improve financial and accounting process procedures and enhance and maintain appropriate internal control systems

Budgets

  • Responsible for budget process for all properties (annually)
  • Coordinate with property managers in the preparation of annual budgets (including determining instalments for commercial tenants)
  • Prepare budget comparison report quarterly for property managers and review variances
  • Yardi
  • Serve as the key point of contact for Yardi Voyager to optimize all functions and features provided to fit in company’s business model
  • Serve as Yardi administrator for new users / bank accounts / properties setup and configurations as needed.
  • Develop customer reports in liaison with outside consultants and schedule Yardi training for staff as needed.
  • Support staff on all Yardi issues including both receivable and payable cycles, landlord tenant board forms, reports etc.

Insurance

  • Review, place and update some insurance policies for all properties
  • Above Guideline Increase
  • Analyze rent review legislation as passed by the Government of Ontario and determine the effect.
  • File all applications with the Landlord and Tenant Board where appropriate and attend hearings where applicable.
  • Process orders and review letters to tenants advising them of increases. This is done in coordination with a consultant

Other Duties

MPAC / Property Tax Appeal / A4

  • Prepare annual MPAC requested information
  • Review properties for possible rent review applications (i.e. above guideline applications and realty tax reductions).
  • Review property tax assessments when received and coordinate appeals using outside consultant
  • Review all property tax invoices when they are arrive for accuracy. Invoice tenants who pay realty taxes directly as required.
  • Appeal tax reductions and process A4s

Mortgages

  • Setup new mortgages, track annual mortgage statements and adjust year end balances as per mortgage statements.
  • Responsible for annual mortgage review compliances

Valuation / Acquisition / Disposition

  • Assist company valuation process, assisting appraisers and valuators as necessary
  • Assist on acquisitions and dispositions during the due diligence process
  • Engage outside consultant for energy reporting compliance both for Provincial and City of Toronto
  • File declaration of occupancy status for City of Toronto
  • File and issue annual T5s for residential tenants
  • Track reading meters as required

Qualifications :

CPA and property accounting experience required in addition to experience using Yardi.
