About the job Office Admin - Shipping Department

Main Job Responsibilities :

  • Documentation : Prepare necessary documentation, including Bills of Lading, customs paperwork, and pro forma invoices.
  • Coordination : Coordinate daily product movements with sales teams and customers.
  • System Management : Confirm product availability and create orders in the JDE system.
  • Warehouse Coordination : Collaborate with the warehouse team for orders requiring fittings.
  • Customer Interaction : Pre-call customers as needed before shipment.
  • Data Management : Perform data entry tasks in JDE and DSI systems.
  • Communication : Liaise with customer service via email and phone to address inquiries and concerns.
  • Issue Resolution : Investigate and resolve purchase order discrepancies and complete necessary corrections.
  • Logistics Tracking : Monitor and track proof of delivery.
  • Inventory Management : Participate in monthly and year-end inventory processes.
  • Safety Compliance : Ensure all third-party personnel have completed the onsite safety video and required safety sign-offs.
  • Additional Duties : Perform any other tasks as assigned by the supervisor

Required Skills & Abilities :

  • Bilingual Proficiency : Fluent in both English and French.
  • Technical Skills : Familiarity with JD Edwards (JDE) is advantageous. Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Communication : Exceptional written and verbal communication skills.
  • Mathematical Competence : Strong mathematical skills.
  • Physical Requirements : Valid forklift license and the ability to lift up to 50 pounds.
