SUMMARY

The Manager, Space Management is part of an integrated team delivering real estate services, who’s focus is on the delivery of workplace services including space planning and design, drawing and occupancy management, relocation services and workplace advisory services.

The scope of the role includes leading and managing the strategic relationship with the key client stakeholders, as well as overseeing and managing both ongoing day to day needs as well as all space projects.

This team member leads a small team of workplace professionals and also actively delivers services to meet client requirements.

The Manager, Space Management works with internal BGIS in account staff, centres of expertise as well as the client and external vendors, as required, to ensure timely and complete service delivery in support of the client’s objectives.

KEY DUTIES & RESPONSIBILITIES

People Leadership

  • Demonstrates strong, competent leadership for team members to guide them in reaching their full potential and meeting their objectives.
  • Provides mentoring, coaching and guidance to all team members.
  • Manages all aspects of performance.
  • Provide direct support to the team with respect to service delivery, technical issues and administrative issues and challenges;

strive for 100% team member satisfaction through effective administration and provision of tools and support.

Service Leadership

  • Ensures the Space Program is delivered in accordance with the contract and identified success measures for both tenant improvements and capital projects.
  • Executes work required to meet service and project commitments related to time constraints on deliverables and quality expectations (KPI's).
  • Lead and provide oversight to a space management team and others responsible for delivering drawing and occupancy services, space planning and move adds and change projects ensuring that delivery is undertaken optimally and within BGIS / Client procedural boundaries.
  • Establish work schedules and priorities.
  • Assign prioritize and monitor work progress and completion to ensure adherence to timeliness, quality standards and all other related requirements.
  • Ensure processes are in place and operational to drive consistency and alignment with Client needs with respect to key delivery.
  • Ensure sub-processes are in place and reviewed regularly for improvement opportunities including drawing management, needs analysis, programing & advisory services, needs analysis and report writing.
  • Ensure internal escalation of issues or potential risks are raised to the Account Lead, where required, and communicate and facilitate the resolution of escalated issues and challenges that include internal / external stakeholders.

Drawing & Occupancy Management

  • Manage and oversee the maintenance and updates to drawings and occupancy information within the Facility Management software database.
  • Ensure all updates and changes are completed on time and reflect additions and changes of onsite conditions.
  • Ensure accuracy of input by undertaking verification activities with other personnel, clients or by field visit.
  • Support project management, space management, move management, asset tracking, maintenance management as required by contract deliverables.

Interior Design & Space Management

  • Brings experience in managing and executing interior design and space management programs in workplace engagements.
  • Lead and execute requirements gathering, needs analysis and functional programming exercises as required to support client requirements.
  • Lead the application of information from the functional program through space layout and design activities to translate requirements into functional space layouts in AutoCAD.
  • Develop interior design and furniture concept documents including research of materials / finishes as required.
  • Develop digital presentations to communicate design concepts, options and intent in support of client decision making.
  • Leads the delivery of space planning services including layouts for reconfigurations and or minor modifications.
  • Provides other interior design services as required.
  • Complies with all regulatory, environmental, health and safety requirements.
  • Incorporates sustainable practices, where practical, into project delivery, in accordance with client and BGIS processes.
  • Completes technical assessments of client locations in support of strategic planning and programs.

Project and Workload Management

  • Manages time on different tasks effectively and reports delays, barriers to progress and or schedule impacts to their project lead.
  • Supports the development and management of project reporting materials.
  • Monitor and manage workload for the team to ensure effective delivery and contractual requirements are met.
  • Reports progress on a regular basis to support the effective management of project schedules and costs.
  • Monitors and support the preparation and execution of plans, schedules, maintain and track budgets of all projects.

Relationship Management

  • Successfully maintain and build client relationships with an exceptional customer experience focus.
  • Think strategically and assess space impacts with an in-depth understanding of current and future client needs and challenges.
  • Effectively and pro-actively communicates with stakeholders, such as Clients, contractors and account lead to ensure Client satisfaction and BGIS’s success.
  • Develops strong internal relationships with other account team members in order to ensure alignment and promote and support integrated delivery of services One BGIS.

Continuous Improvement

  • Seek and communicate continuous improvement opportunities that improve efficiency, benefit clients and other team members.
  • Keep abreast of technology changes and training requirements related to the role.
  • Demonstrate effective and proactive communication and continuous improvement activities with internal / external stakeholders to ensure client satisfaction and BGIS success.

KNOWLEDGE & SKILLS

  • Proficient in interior design and documentation 7 + years in interior design role delivering interior design projects.
  • Excellent drafting and AutoCAD skills Experience with and understanding of activity-based workplace models.
  • Knowledge and understanding of building and fire codes, accessibility standards and other industry standards such as LEED, WELL or others.
  • Experience working in a multi-discipline team including coordination and collaboration of different disciplines working drawings and specifications.
  • Ability to develop creative and functional interior design solutions to solve client issues.
  • Experience planning and designing corporate interiors including work with specification of systems furniture.
  • Strong functional programming skills including consultative.
  • Approach to requirements gathering. Experience working through the full lifecycle of a project from program development to implementation.
  • Strong communication skills (written, oral and visual) to effectively convey design information and intent as well as general relationship and service delivery tasks.
  • Experience leading a team and managing people.
  • Strong organizational and time management skills.
  • Ability to manage multiple assignments simultaneously Experience managing projects including resource, schedule and financial management.
  • Software proficiencies including MS Excel, MS Project, Word, Powerpoint, Outlook, AutoCAD, Bluebeam, MS Project Experience in change management is an asset.
  • Bilingualism in French / English is an asset

Licenses and / or Professional Accreditation

  • NCIDQ Certification or working towards NCIDQ certification.
  • BAID degree from a CIDA accredited post-secondary school or equivalent program (CIDA accredited).
