Operations Administrator – Pacific Rim Distribution, Vancouver Island

Commercial Logistics Inc. is looking for an Operations Administrator to support Pacific Rim Distribution, our Vancouver Island operation.
Pacific Rim Distribution is the Vancouver Island operation of Commercial Logistics Inc. Commercial Logistics and ContainerWorld are both part of Mullen Group, with recruitment for this position coordinated through ContainerWorld.

About the Role
The Operations Administrator provides day-to-day administrative and customer service support for our Vancouver Island transportation operation.
Your work will involve a combination of operational administration, customer communication, order and system updates, reporting, and delivery documentation. You’ll manage many of your regular responsibilities independently while working with the Operations Manager and the broader team when exceptions or unusual situations arise.
This isn’t a traditional desk job where every day looks exactly the same. Transportation is a fast-moving environment, and priorities can change throughout the day as deliveries are completed, customers need information, or operational issues arise.
Your day will typically involve:
- Processing and maintaining delivery and transportation documentation
- Entering and updating orders and operational information
- Completing shipment and delivery confirmations
- Communicating delivery updates, delays, and service issues
- Responding to customer and internal operational inquiries
- Preparing recurring reports and customer-specific information
- Reviewing information for accuracy and following up on missing or incomplete details
- Coordinating information between Operations, Drivers, Customer Service, Warehouse, Finance, and other teams

Key Responsibilities
Operational Administration
- Process and maintain documentation required for daily transportation and delivery activities
- Complete order entry, shipment confirmations, delivery confirmations, and related system activities
- Prepare recurring operational and customer-specific reports
- Maintain information used to monitor delivery performance and customer service
Customer & Operational Support
- Respond to customers regarding delivery status, service issues, and operational inquiries
- Communicate delivery delays, service exceptions, and special requirements
- Coordinate information between customers and internal operational teams
- Investigate routine delivery and administrative issues and assist with follow-up and resolution
- Assist with operational projects and process improvements
- Provide backup support for related administrative activities as required

Requirements
- High school diploma or equivalent
- 1–2 years of related experience
- Previous experience in administration, customer service, transportation, or logistics is preferred
- Proficiency with Microsoft Office, including Excel and Word
- Strong written and verbal communication skills
- Strong attention to detail and organizational skills
Preferred, but not required:
- Experience with transportation management, order management, or similar business systems
- Previous experience in trucking, logistics, distribution, or another operational environment
- Experience working directly with customers in an administrative or service role
