Our client, a vibrant and progressive faith community, is looking for a Permanent - Part Time, (20 hours/week) Administrative Coordinator to join their team. The Administrative Coordinator plays a vital role in ensuring the smooth day-to-day operations of the organization. This position is responsible for managing communications, digital content, scheduling, facilities coordination, and providing administrative support to leadership and program staff.

Key Responsibilities

Communications & Digital Presence
  • Manage the main administrative email account, responding to inquiries within 3 business days or forwarding to the appropriate person.
  • Monitor the phone line for voicemail messages and respond or forward within 3 business days.
  • Post Orders of Service and online meeting links on the website and prepare printed copies for Sunday services.
  • Update and maintain the website with weekly e-News, services and events, monthly theme packets, organizational documents, and committee information.
  • Assemble and send the bi-weekly e-News newsletter via email, highlighting upcoming activities and events.
  • Prepare and send monthly physical mailings for members without computer access (6–8 households).
  • Maintain email distribution lists (e-News and member lists) and manage forwarding as needed.
Scheduling & Documentation
  • Maintain and update the organization’s primary calendar across the database, e-News, and website.
  • Compile and produce semi-annual reports (December and May) using committee submissions and the President’s message.
  • Coordinate and schedule Google Meet rooms and create shortened URLs for easy access.
Facilities & Space Use Management
  • Manage door codes and keys for renters and members as needed.
  • Maintain contracts for office equipment purchase and maintenance.
  • Order office supplies, bathroom supplies, and other building necessities.
  • Coordinate and oversee the building cleaners’ schedule.
Collaboration & Support
  • Provide administrative support to the Minister and Religious Education Director as required and as time allows.
  • Collaborate with staff, volunteers, and committees to support overall operations and programs.

Required Skills & Competencies

  • Strong organizational and time-management skills with excellent attention to detail.
  • Professional written and verbal communication abilities.
  • Proficiency with Microsoft Office (especially PowerPoint), Google Workspace, email platforms, and website content updates.
  • Experience managing databases, distribution lists, and digital calendars.
  • Friendly, professional demeanor with strong confidentiality practices.
  • Ability to work independently and manage multiple priorities effectively.
  • Seeking PART TIME employment on an ongoing, permanent basis.
