Your Team
The Construction Site Administrator reports directly to the Superintendent and is part of a dynamic team dedicated to the success of the project.
This Role oversees the efficient administrative process, which supports the Site Superintendent and construction team and helps ensure great customer experience.
This is a 1 year contract, supporting our New Seaton community in Pickering, ON.
Your Key Deliverables
Provides consistently professional and polite interaction with all home buyers-owners, and other key stakeholders
Provides timely responses / assistance for all phone, email, in-person home buyers-owners, trades, and other key stakeholder inquiries
Oversees receipt, organization, and timely distribution of inter-office and other mail
Creates and maintains organized control of necessary files and filing systems, in timely and accurate manner
Monitors and follows up on all work orders to resolution
Maintenance and updating of all on-site Health and Safety information
Maintains trade and site visitor sign-in / sign-out log book
Orders locates for wires and cables prior to digging
Manages inspection packages such as for excavation, grading, etc., for City Inspectors
Schedules necessary Municipal inspections, as requested by construction team, to ensure all inspections are performed
Oversees the booking of all PDI Inspections; timely preparation and completion of PDI documents
Assists with obtaining timely PDI sign-offs and remitting PDI documents weekly to head office
Submits payroll timesheets to head office, as required
Enters and sends PDI and construction deficiencies / work orders in a timely manner
Coordinates PDI deficiency completion with trade partners, Handy Man and home owners
Prints Home Buyer Extras for construction team and sub-contractors, as required
Organization and retention of access keys during construction period
Handling of keys for closings, when necessary
Orders all construction site office supplies, including First-Aid supplies
Oversees the required maintenance of all construction site office equipment
Oversees the ordering and tracking of office supplies
All data entry, data management and reporting, as required
Coordination and management of schedules, as required
Must Haves
Two years administrative experience
Nice to Haves
Knowledge of new home construction and timelines
Customer Care / Service experience
Previous use of NewStar, BuildPro
