Summary :

This position is required to effectively communicate and interact with executive management and staff at all levels. With the demonstrated ability to work in an efficient and professional manner the role requires a high level of responsibility, organization and judgment.

This role will be part of a small administration team that supports the executive team and will take a lead role in coordinating committees, event support or other programs requiring administration support.

Responsibilities :

  • Reliably perform a wide range of administrative and general support duties of a responsible and confidential nature
  • Manage calendars, arrange and plan meetings and / or conference calls, ensuring that all required information is available
  • Coordinate and book travel arrangements and plan itineraries
  • Prepare and compose correspondence, both internal and external
  • Manage email activity including priority assessment
  • Process expense reports, benefit claims and budget tracking
  • Coordinate, prepare and format materials for PowerPoint presentations and / or reports from general instructions or rough outline
  • Communicate with various internal departments to coordinate projects and / or activities and liaise with external parties in administrative matters
  • Establish and maintain a file and records management system, including both hard and electronic files
  • Attend team meetings to offer support
  • Provide support on company events, including occasional travel, if required
  • Project work as assigned

Qualifications :

  • 2 - 4 years experience in administrative support
  • Strong time management and organizational skills resulting in efficient completion of all assigned tasks
  • Solid communication including interpersonal skills in dealing with both internal and external clients in a highly professional manner
  • Strong computer skills and proficiency with MS Office including Outlook, Word, Excel, Power Point is required; Visio is an asset
  • Ability to multitask in a fast-paced environment
  • Ability to work independently, with minimal supervision and proactively
  • Ability to work as part of a team
  • Resourcefulness and dependability
