Construction Project Coordinator-FT

Principal Responsibilities / Tasks :
1. Basic Function and Scope of Responsibilities :
Your primary role will see you serve as a key member of FirstCon Group Ltd. (FirstCon ) in assisting the Project Management team.
This role is supportive in nature, you will act as a liaison by communicating with external parties and assisting the Project Manager in organizing and coordinating all aspects of the construction project, from tendering until final delivery.
The Project Coordinator will work closely with the Project Manager and Site Superintendent to efficiently manage the project's documentation, submittals, reviews, and quality management processes.
This will require extensive communication with the internal team members and external Consulting Engineers, Subtrades, and Suppliers.
2. Principal Responsibilities / Tasks :
- Work with Project Manager to prepare, distribute and manage full tender packages
- Asemble, analyze, and prepare tender recommendations for review and approval by the Project Manager
- Assist Project Manager in preparing letter of recommendations for submission to Owner
- Prepare CCDC Contracts for issuance to Trade Contractor and Owner
- Work with Project Manager to request / receive, track, negotiate and finalize quotes from Trade Contractors for purchase and change orders, preparing them for approval by the Project Manager
- Preparation of monthly progress billings, including verification, revisions, and assembly of draw package for Project Manager review and approval
- Work with the Project Manager to update / track the project schedule in MS Project
- Keep an organized and continuously updated (daily) file structure for all the construction documents on the shared drive
- Update, track and monitor to Construction Cost Report (CCR), ensuring to flag overages, etc. to the Project Manager
- Create and maintain various logs tracking construction documents, including CO log, SD log, RFI log, etc.
- Review Contractor shop drawing submissions for conformance with the Contract Documents prior to sending for technical review
- Track, monitor, and expedite shop drawing submittals to ensure they are reviewed and returned within the specified times
- Distribute shop drawing submittals to relevant trades for coordination
- Assist the PM with preparation of meeting minutes, various reports, tracking of outstanding RFIs, Change Orders, Site Safety Reports, etc.
- Distribute construction documents related to the execution of work on site to the Site Superintendent, subcontractors and the entire project team and ensure the information was successfully received
- Assist the Project Manager in the application for occupancy process with the relevant municipality
- Collect, assemble and / or file all close out documents such as, as-built drawings, warranties, and maintenance manuals
Our ideal candidate meets the following criteria :
- 5+ years progressive experience in the construction industry
- Knowledge of government regulations regarding the construction industry
- Proficiency in Microsoft Office Suite
- Post-secondary degree / diploma in Engineering, Construction Management, or Architectural Technologies is an asset
- Excellent coordination and multi-tasking abilities
- Extremely organized and can perform under tight deadlines and competing priorities
- Proven team player and comfortable in a dynamic environment
