Altara MD is an interventional pain clinic located in Etobicoke, ON, looking to hire a medical office administrator to join our core clinical team.
Our administrative team will work closely with the doctors and nursing team to provide care to patients receiving treatment.
Responsibilities :
- Answering phones, booking appointments, sending / receiving faxes
- Ensuring incoming electronic and paper documents are electronically filed in patient’s chart
- Checking and responding to voicemails as appropriate
- Opening and closing the office as appropriate
- Creating patient charts from referrals, calling new patients to book appointments
- Booking patients for follow-up appointments and procedures
- Responding to messages from doctors in the clinic
- Corresponding with offices of family physicians, other specialists, hospitals, imaging centres, pharmacies and laboratories as needed
- Responding to emails, copying, scanning and faxing documents as needed
- Greeting / registering patients and ensuring that pre-visit questionnaires are completed
- Managing and preparing doctors’ schedules
- Documentation / Administrative tasks / Inventory maintenance for medical supplies
- Preparing OHIP billing sheets for physicians
- Submitting OHIP billing as appropriate
- Participating in Quality Assurance Committee meetings
- Downloading and uploading patient imaging files as appropriate
- Retrieving surface mail daily, sending outgoing mail as appropriate
- Arranging tests and imaging ordered by physicians
- Fostering a positive working environment for team members and patients
- Using standard clinic procedures but with an eye to process improvement
- Maintaining patient confidentiality while performing all responsibilities
- Maintaining general tidiness of office and waiting area
- Alerting medical and / or nursing staff of any perceived acute emergency in waiting area
Qualifications :
- Excellent interpersonal skills
- Ability to work both independently and co-operatively as part of a team
- Able to use technology with minimal support
- Excellent communication skills in English, both oral and written
- Additional language proficiencies an asset
- Tech savvy to use EMR (previous experience with Telus CHR an asset)
- Previous clinic experiences an asset, especially previous experience working in an interventional pain clinic
- Previous office administration experiences an asset
- Experience in a professional setting an asset
- Ability to work in a professional and collaborative environment
- Organized and detail oriented
- Excellent time management skills and ability to multi-task
- Knowledge of the healthcare system and medical terminology an asset
- MOA certificate / diploma an asset
