About This Location

Our Home Office is located in the heart of Bloor West Village in Toronto, just steps away from Jane Subway station. This role is a hybrid position with a requirement to attend the office 3 days a week, or more depending on the needs of the business. Effective March 2026, the role will transition to a fully office-based schedule of 5 days per week in the office.

About This Role

We are looking for an Operations & Development Coordinator to join our Construction & Development team. This role is essential in providing high-level administrative support and operational coordination to ensure seamless collaboration between Cemetery Operations and Construction & Development departments. Key Qualifications And Demonstrated Abilities

  • Completion of a 2-year college program in Business Administration or related field.
  • Minimum 2 years of administrative and coordination experience supporting senior management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Access, SharePoint, Power BI).
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and communication skills (verbal, written, presentation).
  • Ability to work independently and collaboratively in a team environment.

Responsibilities

  • Administrative Support
  • Prepare and review correspondence, presentations, and reports for senior leadership.

  • Maintain department files, branch listings, and manage office supply orders.
  • Organize and set up meetings, prepare agendas, and distribute minutes.
  • Manage Arbor Engage / Yammer Team Site for policy updates and announcements.
  • Assist with quarterly and annual reporting, including Cemetery Operations Calendar.
  • Financial & Project Coordination
  • Maintain databases to track project status, scheduling, budgeting, and costing.

  • Assist with Authority for Expenditure (AFE) creation and tracking.
  • Code invoices and ensure compliance with AFE and A / P policies.
  • Liaise with contractors and suppliers for invoicing and accruals.
  • Operational & Compliance Duties
  • Review and reconcile reports from branches; update MS Access databases for accurate reporting.

  • Coordinate and submit provincial requirements for approval (BAO, CPBC, CPO).
  • Track and communicate municipal and public notices as part of the Triage Team.
  • Maintain memberships (OACFP, WCCA) and support regulatory submissions.
  • Other Responsibilities
  • Act as Visa Purchase Card administrator and monitor expenditures.

  • Assist with Cemetery Inventory Audits and act as backup for Burial Space Management Coordinator.
  • Provide support for business development initiatives under the direction of the Supervisor.
