Employment Type : This is a full-time, permanent position.
Your Work Environment :
As an Administrative Assistant, you will play a crucial role in supporting senior leadership. Your proactive problem-solving skills, exceptional communication, and meticulous attention to detail will ensure smooth operations at the executive level. You will be responsible for maintaining confidentiality, overseeing key administrative functions, and optimizing workflows to support high-ranking executives effectively.
Your Daily Responsibilities :
Provide primary support to the Director of Operations and additional support to senior leadership as needed.
Maintain and refine internal processes supporting executives across the company, streamlining workflows.
Coordinate professional and personal scheduling, including calendars, agendas, emails, phone calls, client management, and other logistics.
Manage executive travel logistics, including accommodations, transportation, and itineraries.
Organize communication between employees, internal teams, and external stakeholders.
Assist in project management, ensuring deadlines and deliverables are met.
Prepare reports, presentations, and data, maintaining organized records for meetings.
Attend meetings, take minutes, and ensure executives are well-prepared.
Oversee budgets and expenses, ensuring financial efficiency.
Develop and maintain internal filing systems and administrative processes.
Handle and prioritize all correspondence (emails, letters, packages, etc.).
Organize team communications and plan internal and off-site events.
Maintain strict confidentiality and professionalism in all matters.
Your Must-Haves :
A minimum of 10 years of experience in an administrative role reporting directly to senior management.
Excellent written and verbal communication skills.
Strong time-management abilities with the capability to organize and coordinate multiple projects.
Proficiency in office productivity tools and an aptitude for learning new software and systems.
Ability to work with multiple stakeholders, including senior leaders.
High level of discretion and confidentiality.
Experience in budget oversight and expense tracking.
Ability to develop and manage internal processes and filing systems.
Strong adaptability and problem-solving skills.
Experience in travel coordination, report preparation, and meeting minutes.
An Asset to Have :
French as a second language.
Post-secondary education in Business Management or a related field.
