We are a dynamic and fast-growing company seeking an experienced, proactive, and detail-oriented Executive Assistant to support our leadership team. This is a fully remote position, offering the opportunity to work from anywhere, and we are actively seeking talent from South Africa or LATAM. Key Responsibilities
Executive Support : Provide administrative support to C-level executives, including calendar management, scheduling meetings, and preparing materials for meetings.
Communication : Act as the primary point of contact for both internal and external communications, handling emails, phone calls, and other correspondence professionally and promptly.
Travel Coordination : Organize travel arrangements including flights, accommodation, transportation, and itineraries as required.
Meeting & Event Management : Coordinate and prepare for meetings, webinars, and events (virtual and in-person), ensuring that all logistics are handled efficiently.
Project Management : Assist with the tracking and management of various projects, ensuring deadlines are met and deliverables are achieved.
Data Management : Maintain and organize files, documents, and records, ensuring easy retrieval and up-to-date data.
Excel Expertise : Create and manage spreadsheets, reports, and dashboards in Excel to track KPIs, operational metrics, and other key data points for executive review.
Operations Support : Collaborate with the operations team to ensure smooth day-to-day activities and contribute to process improvement initiatives.
Confidentiality & Discretion : Handle sensitive information and confidential matters with the utmost professionalism and discretion.
Requirements
Previous Experience : Minimum of 3 years of experience as an Executive Assistant, Operations Coordinator, or in an equivalent administrative support role.
Strong Proficiency in Excel : Advanced knowledge of Microsoft Excel is a must, including the ability to manage large datasets, create pivot tables, and generate meaningful reports.
Organizational Skills : Ability to manage multiple tasks and priorities simultaneously with exceptional attention to detail.
Communication Skills : Excellent written and verbal communication skills in English (additional languages are a plus).
Tech-Savvy : Proficient with Google Workspace, Microsoft Office Suite, Zoom, Slack, and project management tools such as Trello, Asana, or Monday.com.
Time Management : Strong ability to manage and prioritize tasks, ensuring deadlines are met with high-quality output.
Adaptability : Must be flexible and comfortable with working in a fast-changing, remote work environment.
Location : We are actively hiring remote candidates from South Africa or LATAM. Applicants from other locations will not be considered at this time.
Desirable Skills
Familiarity with CRM systems (e.g., Salesforce, HubSpot)
Basic understanding of project management methodologies
Previous experience in a remote working environment
Fluency in Spanish or Portuguese is a plus (particularly for LATAM applicants)
