The company specializes in Yardi and solutions and offers a wide range of services including system assessments, implementation, custom report development, training, outsourced accounting, and help desk support. Since 1998, Lynx Systems Inc. has helped hundreds of real estate companies in the United States and Canada with their technology needs.

The Role

We are looking for a highly organized and proactive Executive Assistant to support our leadership team. This role involves high-level administrative duties, contract management, and handling sensitive information with discretion. The ideal candidate will excel in communication, multitasking, and document preparation, including drafting, reviewing, and proofreading contracts.

Responsibilities

  • Manage executives’ calendars, coordinate meetings, and arrange travel logistics.
  • Prioritize and manage incoming requests, emails, and correspondence, ensuring timely and appropriate responses.
  • Draft, review, and proofread contracts related to employment agreements and business operations.
  • Prepare reports, presentations, and other executive-level documents.
  • Conduct research and compile information for meetings, presentations, and strategic projects.
  • Assist in organizing and preparing executive meetings, including agenda development and document distribution.
  • Maintain confidentiality while handling sensitive information with discretion.
  • Coordinate company events, conferences, and team-building activities.
  • Monitor and manage executive expenses, including travel and office-related costs.
  • Build and maintain strong relationships with internal and external stakeholders.
  • Collaborate with other administrative team members to support overall office operations.
  • Perform other administrative tasks as required.

Qualifications

  • Proven Experience as an Executive Assistant or in a similar high-level administrative role.
  • HR Experience is an Asset.
  • Experience drafting, reviewing, and managing contracts.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • High attention to detail and strong problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and other productivity tools.
  • Strong interpersonal skills and the ability to interact with individuals at all levels.
  • Ability to handle confidential and sensitive information with integrity.
  • Adaptability to shifting priorities and a proactive, solution-oriented mindset.
