On behalf of our client, a Canadian Company, a leader in the Health and Safety consulting industry, we are looking for an Office Administrative Specialist to join their team in Toronto.
Position Overview
The Office Administrator plays a crucial role in ensuring the smooth operation of the office by providing administrative support, managing office systems, and coordinating day-to-day activities. This individual acts as the backbone of the office, supporting staff and maintaining an efficient, organized, and productive work environment.
Key Responsibilities
- Administrative Support
- Serve as the first point of contact for visitors and employees.
- Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
- Prepare and distribute meeting agendas, minutes, and other documents.
- Office Management
- Organize and maintain office files and records, both physical and digital.
- Ensure the office environment is clean, organized, and well-maintained.
- Financial and HR Support
- Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
- Manage employee schedules, timesheets, and leave requests.
- Event and Meeting Coordination
- Schedule and organize meetings, conferences, and team events.
- Arrange travel and accommodation for staff as needed.
- Assist in planning and execution of company-wide events and celebrations.
- Communication and Liaison
- Act as a point of communication between departments and external parties.
- Provide timely updates and reports to management.
- Handle confidential and sensitive information with discretion.
