The GBBA team you support includes but is not limited to, the operations, engagement, project and accounting team. You will be asked to lead small project pieces from any staff team member from time to time, as well as be the go-to person for office operations.
You will work collaboratively with the board members to plan events, manage data, develop, and distribute resources and communicate project outcomes to our members and community.
Having flexibility in your work schedule, working collaboratively in our fast-paced, team environment and having a can-do attitude are imperative.
ABOUT USThe Greater Burnside Business Association (GBBA) is a volunteer organization that promotes, supports, and advocates for businesses and organizations within Burnside Business Park, Canada’s largest industrial park east of Montreal and a significant economic driver of the Halifax Regional Municipality.

are sensitive to the needs of the adjacent residential neighbourhoods.Areas of RESPONSIBILITY
Responsible for contributing and supporting the organization's annual Strategic Plan and organization goals to success by supporting the board and being responsible for both general and clerical tasks in the organization.
In a supporting role general administrative duties include but are not limited to operational support, database administration, troubleshooting technology, document creation.
accounting support, member engagement support, project and meeting support.The Administrative Coordinator will :
- Be responsible for the majority of operational tasks.
- Maintain an administrative coordinator workplan, ensure deadlines are met and work through roadblocks with team
- Be committed to providing attentive support to our board and members while being courteous, proactive, and well-organized, bringing creative solutions to administrative problems
- Support project work as requested, including research, data collection and reporting
- Respond to email messages and direct to appropriate committee member as required, in a timely manner
- Attend board meetings, taking notes as required
- Draft documents as requested
- Coordinate database information, ensuring accuracy; contact management database, marketing database, lists, trackers, survey results, and others as requested
- Work collaboratively with team to obtain RSVPs for meetings and events
- Prepare meeting packages, event documents, signage, and posters
- Assist with coordinating food and beverages for meetings
- Deliver documents and distribute to the board members as directed.
- Coordinate thank you cards and gifts for meeting guests / presenters and ensure sent in a timely manner
- Support other staff team requests as assigned
- Present a professional and respectful attitude and attire, aligning with our culture
QUALIFICATIONS
- Minimum 2 years of administrative coordinator experience
- Proficiency with Microsoft Office suite (Word, Excel, PowerPoint)
- Data collection and input
- Proficiency with office technology equipment included computers
- Experience with contact management databases and software programs or a willingness and ability to learn very quickly.
- Collaborative team leadership style with exceptional interpersonal communication, relationship building and problem-solving skills
- Exceptional interpersonal, written and verbal communication skills
- Cultural awareness
- Strong task and time management skills
- Proven diplomacy, tact, empathy and understanding of sensitive and confidential issues
- Valid driver’s license with access to a vehicle for local travel
- Ability and openness to take direction
