We are on the lookout for someone unique. A unicorn in fact. An enthusiastic, detail oriented Personal Assistant with the drive and passion to help and directly support our Client’s CEO & Creative Director.

This role is responsible for a variety of personal and administrative tasks that will require an experienced person with a sense of urgency and flexibility.

This is a part-time role 18-20 hours / week to fill in for a one-year maternity coverage role, with the potential to join the team permanently and remain in the role at the end of the one-year contract.

This is a fully remote role.

What- The Role :

  • As the Personal Assistant you will;
  • Work very closely with the CEO to assist, manage, and support a variety of confidential personal,
  • family and work-related tasks.
  • Bring a high level of maturity, experience and problem solving to a fast-paced schedule &
  • environment.
  • Be comfortable learning on the go in an entrepreneurial, hands-on environment.
  • Embrace our non-traditional hybrid roles that encourage variety, learning and growth.
  • Duties Include but not limited to;
  • Managing personal workflow from concept to execution through coordinated support tasks.
  • Administrative support; booking and managing complex calendar appointments and timelines.
  • Managing, answering and actioning personal emails and calls.
  • Management and support of a variety of confidential family related tasks, events and
  • appointments for the CEO’s son and mother.
  • Management, booking and scheduling of personal, school related and business travel.
  • Management of personal finances including banking, credit cards, scheduling and managing personal bill payments and budgeting with support from our Finance Team.
  • Scheduling and managing all personal appointments, helping with time management and bookings.
  • Project management of personal and home related events including; offsite gatherings, health and personal care appointments, scheduling CEO’s in office days.
  • Scheduling and managing home service and home maintenance requirements such as
  • gardeners, repairs, cleaning services, handymen, tech service repairs, etc.
  • Provide personal minor tech and software support including : troubleshooting passwords and
  • resolving technology issues or scheduling maintenance for personal devices as required.
  • Onboarding Will Include;
  • Personal calendar, email & appointments and workflow
  • Personal travel & accommodation bookings
  • Tech support & family / personal admin & filing
  • Organization & management of personal payments & finance
  • Shipping & receiving of personal & home-related items
  • Home & garden related bookings, maintenance & events
  • Managing family health bookings, appointments & meetings
  • Son’s : school / schedule / payments / purchases / budget & travel
  • Managing & updating mother’s finance & health

What you bring to the table :

  • Experienced as a Personal and Executive Assistant or a similar Operations Admin role.
  • Highly accountable, adaptable and responsive with strong professional discretion and
  • confidentiality.
  • A reliable, strong communicator, both verbally and written with well-developed interpersonal skills.
  • An outgoing, positive nature : you’re a problem-solver who takes initiative, makes things happen
  • and works well under pressure while learning on the go.
  • Highly organized critical thinker with the ability to multi-task and switch gears, priorities and tasks
  • quickly.
  • Critical thinker with the ability to communicate with diplomacy and discretion.
  • Ability to work independently and resourcefully and willing to seek clarification as needed.
  • Proficiency in computer skills.

How much :

$35-40 / hr + 4% vacation pay, 18-20 hours / week
