Change and Communications Analyst

On behalf of our client, Procom is currently seeking a Change and Communications Analyst.

Change and Communications Analyst Job Duties :

The Change and Communications Analyst will provide the following services required to support the transition to Microsoft Exchange Online, Teams, and other Cloud Services projects :

  • Apply a structured methodology and coordinate change management activities,
  • Leverage a change management methodology, process, and tools to strategize and support adoption of the changes required by the project,
  • Conduct impact analyses, assess change impacts and readiness, and support key stakeholders,
  • Work with Cloud Services Leadership and all relevant stakeholder teams to Identify, analyze and prepare risk mitigation tactics,
  • Develop and support communication channels, activities, and feedback with stakeholders (including but not limited to maintenance of Cloud Services POD page and Teams inbox),
  • Support Cloud Services initiatives with communication and adoption strategies,
  • Create processes to gather and disseminate key project milestones, achievements, and updates,
  • Identify and manage anticipated and persistent resistance with Change Lead,
  • Develop an engagement strategy, plan and schedule to support application training and deployment activities,
  • Liaise with IMITS Communications, Business & Clinical Working Groups, governance and site sponsors to design, develop, delivery and manage key communications,
  • Provide input, document requirements, and support the design and delivery of training programs and efforts, and
  • Support Cloud Services team.

Other responsibilities include, but are not limited to, the following :

  • Draft reports, briefing notes, and other supporting documentation for senior management and governance working groups,
  • Lead, inform and develop use cases as well as design, develop and implement new processes, systems and enhancements,
  • Oversee and complete business / clinical / technical analysis and process re-engineering activities as well as identifying gaps, risks and opportunities,
  • Facilitate meetings (inclusive of agenda, minutes and other meeting materials),
  • Produce presentation and training materials, status reports, etc. and other related administrative tasks, and
  • Other duties as assigned.

Core Deliverables include :

  • A documented transition plan for change and communications framework (including all supportive written materials),
  • Communications and Change Management plans as required,
  • Stakeholder analysis and engagement plan,
  • Communications and Stakeholder feedback channels,
  • Communication and Engagement toolkits,
  • Training Materials to support transition, and
  • Documentation processes, workflows, policies and procedures.

Change and Communications Analyst Mandatory Skills :

  • 4+ years of experience with large complex IT projects
  • 2+ years of experience within a Canadian Health Authority
  • Experience with and knowledge of change management principles, methodologies, and tools
  • Demonstrated ability to support technology adoption through change management methodologies, communication, and education
  • Demonstrated ability to develop cross-disciplinary communication materials and tools
  • Strong demonstrated experience in developing and implementing clinical and business change management strategies and communication plan
  • Exceptional and effective interpersonal, communications / presentation, and business writing skills
  • Excellent active listening skills
  • Ability to clearly articulate messages to a variety of audiences
  • Ability to establish and maintain strong relationships
  • Ability to influence others and move toward a common vision or goal
  • Flexible and adaptable; able to work in ambiguous situations
  • Organized with a natural inclination for planning strategy and tactics
  • Problem solving and root-cause identification skills
  • Able to work effectively at all levels of an organization
  • Must be a team player and able to work collaboratively with and through others
  • Acute business acumen and understanding of organizational issues and challenges
  • Experience with large-scale organizational change efforts
  • Excellent proficiency with MS Office toolsets (Word, Excel, PowerPoint, Project)

Desirable Skillset

  • 2+ years of experience within BC Health Authorities
  • Prosci Certified Change Practitioner designation (or equivalent) preferred
  • Degree / Diploma in Communications, Business Administration or related field
  • Working knowledge of / experience with Project Management methodologies and tools
  • Experience with migrating on premise Microsoft services to Microsoft 365 cloud services
  • Working knowledge of hospital / clinical systems, care delivery processes, clinical roles, policies, and standards preferably gained in the Canadian Health Authorities environment
  • SharePoint site administration

References

References (supervisor level) will be requested and checked for all past BC Health Authority experience (within last 5 years).
